Job Summary

We are seeking an experienced Administrative Assistant to join our team at MedStar Health. As an Administrative Assistant, you will provide diversified administrative support to our department management team and physicians. Key Responsibilities

  • Contribute to the achievement of established department goals and objectives, adhering to department policies, procedures, quality standards, and safety standards.
  • Provide clerical assistance, including opening and distributing office mail, maintaining staff schedules and vacation logs, and supporting the management team and providers.
  • Answer telephones, route callers, take messages, and provide routine information to callers.
  • Order and maintain inventory of supplies and assist in the care and maintenance of equipment, according to established protocols.
  • Schedule meetings, including identifying meeting location, ordering food, coordinating and producing the agenda, and distributing meeting minutes and materials.
  • Provide data entry support, typing, and transcription as needed, and maintain accurate filing systems.
  • Provide administrative support for routine or special projects and tasks, including gathering and assisting in compiling financial or statistical data.
  • Schedule supervisor's appointments and assist in maintaining and updating daily calendars of assigned staff.
  • Coordinate travel arrangements, including flight, hotel accommodations, conference registration, itineraries, and expense reimbursements.
  • Initiate and type memoranda, policies, committee minutes, manuals, letters, forms, procedures, and other documents as directed.

Requirements

  • High School Diploma or GED required; Associate's degree preferred.
  • 1-2 years of clerical/office experience, preferably in a healthcare setting, supporting a leader/administrative function.
  • Transcription and typing skills.
  • Demonstrated proficiency in the use of word processing, spreadsheet, and presentation software applications in a Windows environment.
  • High level of professional verbal and written communication skills.
  • Excellent interpersonal communication and customer service skills, and good telephone etiquette.
