Executive Assistant

We are seeking a highly organized and proactive Executive Assistant to support the Chief Financial Officer (CFO) and Controller. The ideal candidate will play a critical role in ensuring the smooth operation of the finance department, providing high-level administrative support, managing schedules, coordinating meetings, handling confidential information, and serving as a key liaison between the executives and internal/external stakeholders.

Key Responsibilities
- Manage and maintain the CFO and Controller's calendars, ensuring efficient scheduling of meetings, appointments, and travel.
- Prepare and organize materials for meetings, presentations, and reports, including financial data and analytics.
- Screen and prioritize emails, phone calls, and other communications, responding on behalf of the CFO and Controller as appropriate.
- Handle confidential information with discretion and maintain the highest standards of professionalism.
- Coordinate and schedule internal and external meetings, including board meetings, financial reviews, and team events.
- Prepare agendas, take detailed meeting minutes, and follow up on action items as needed.
- Collaborate with other departments to gather necessary materials and ensure effective communication.
- Arrange domestic and international travel, accommodations, and transportation for the CFO and Controller.
- Manage expense reporting, ensuring timely submission and reconciliation of expenses in line with company policies.
- Assist in the preparation of financial reports, presentations, and other executive-level documents.
- Maintain and organize files, both physical and digital, ensuring easy access to key documents and information.
- Conduct research and gather data to support the finance team in making informed decisions.
- Provide support for special projects, including financial planning, audits, and budgeting processes.
- Collaborate with the finance team and other departments on ad-hoc projects as needed.
Qualifications
- 5+ years of experience in an executive assistant role, preferably in a finance or corporate environment.
- Exceptional organizational skills and attention to detail.
- Strong verbal and written communication skills.
- Ability to manage multiple priorities and work efficiently under pressure.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with financial software.
- Discretion in handling confidential and sensitive information.
- Ability to work independently and proactively anticipate the needs of executives.
