Job Summary:

The Intake Coordinator is a vital member of our team at Patient Care America, responsible for ensuring seamless patient onboarding and referral management. This role requires exceptional customer service skills, attention to detail, and the ability to work effectively in a fast-paced environment.

Key Responsibilities:
  • Enter new referrals into our operating system, ensuring accurate and timely data entry.
  • Answer, screen, and transfer inbound phone calls, providing exceptional customer service to patients and referral sources.
  • Screen fax queues and assign documents to appropriate departments, maintaining a high level of organization and attention to detail.
  • Prepare written responses to routine inquiries, utilizing strong written communication skills.
  • Prepare and modify documents, including correspondence, reports, and emails, ensuring accuracy and professionalism.
  • Perform general clerical duties, including photocopying, faxing, and mailing, as needed.
  • Maintain electronic and hard copy filing systems, ensuring confidentiality and compliance with organizational policies.
  • Provide the highest level of customer service, maintaining a clear and pleasant demeanor in all interactions.
  • Work collaboratively with the outside sales team to develop relationships with referral sources and promote our services.
Requirements:
  • High school diploma or equivalent required; associate's or bachelor's degree preferred.
  • 0-2 years of customer service experience, preferably in a healthcare or clinical setting.
  • Excellent verbal and written communication skills, with the ability to articulate company policies and practices to patients and vendors.
  • Strong interpersonal skills, with the ability to maintain relationships with internal and external customers.
  • Ability to work independently, with minimal supervision, and as part of a diverse team.
  • Detail-oriented, with exceptional planning and organizational skills.
  • Ability to work in a fast-paced, deadline-driven environment, with a high level of initiative and a desire to succeed.
