Job Summary:

First Bank and Trust Company is seeking a highly skilled Administrative Support Specialist to provide exceptional administrative support to our in-house legal counsel. The successful candidate will be responsible for maintaining accurate and organized files, assisting with document production, formatting, and editing, and providing administrative support to the Legal Department.

Key Responsibilities:
  • Provide administrative support to the Legal Department, including maintaining electronic and physical files, and ensuring accuracy and organization.
  • Assist with document production, formatting, and editing using Adobe, Excel, and Word.
  • Proofread and edit documents for style, content, internal consistency, and readability.
  • Maintain and update legal matter management, including outside counsel management and legal budget forecasting.
  • Assist with the preparation of organizational documents, including corporate governance materials and update/maintain documentation.
  • Collaborate with other internal departments to ensure compliance with subpoena production requests.
Requirements:
  • Associate's Degree in Legal, Business, or Finance, or equivalent experience.
  • 2 years of administrative support experience, or equivalent demonstrated through a combination of work, training, or education.
  • Experience in a financial institution or as a secretary/legal assistant in a law firm is preferred.
Skills and Abilities:
  • Excellent communication skills, both written and verbal.
  • Strong leadership and interpersonal skills.
  • Ability to multitask and prioritize tasks effectively.
  • Working knowledge of Word, Excel, and Adobe.
