PRIMARY JOB RESPONSIBILITIES:

Administrative Duties : Create and sustain a professional work atmosphere. Respond promptly to phone inquiries; manage incoming and outgoing correspondence; procure office supplies and oversee shipping logistics; draft reports and other documents to support site operations. Welcome all visitors, new employees, and staff with a positive and professional demeanor. Communicate effectively and empathetically with all levels of personnel and management. Assist corporate teams in maintaining company assets. Prepare various reports on a daily, weekly, monthly, and annual basis as required. Human Resources Functions : Collaborate with Site Supervision to complete and submit employee documentation (W4, I-9, health assessments, training programs, address changes, termination forms, applications, EEO forms, benefits, and insurance information, etc.); schedule drug screenings and physical examinations; ensure the distribution of employee orientation materials and training programs; assist with EEO monitoring and audits; return all HR materials to corporate headquarters at project completion. Payroll Responsibilities : Confirm the accuracy of foremen's reports and other necessary data for payroll processing. Operational Support : Aid Site Supervision in establishing utilities and mail services; perform routine office upkeep (cleaning, preparing coffee, servicing office equipment); organize materials and documents for weekly management meetings and other gatherings as directed by the Site Manager; run errands as necessary. Safety Coordination : Communicate the location and access details for emergency services, and display emergency contact information as required. Assist the Safety Manager as needed. Organize and prepare for meetings involving stakeholders and local organizations.

ADDITIONAL JOB FUNCTIONS:

Undertake additional tasks as directed by supervisors.

EDUCATION & EXPERIENCE REQUIREMENTS:

High School Diploma or GED: One year of experience in an administrative role, or an equivalent combination of training and experience.

KNOWLEDGE, SKILLS, AND ABILITIES:

Strong organizational and prioritization skills. Excellent verbal and written communication abilities. Typing speed of 40-45 words per minute is required. Capability to work independently. Proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint). Experience with payroll systems.

SAFETY/DRESS REQUIREMENTS:

Sleeves must always be worn (no sleeveless shirts). No ripped or torn jeans. Steel or composite toe boots are required. Additional safety equipment will be provided as necessary.

PHYSICAL REQUIREMENTS

Must adhere to the company's drug and alcohol policy. Must be able to pass a pre-employment physical examination, as required by the company.

WORK ENVIRONMENT

Work locations may include industrial construction sites, offices, and fabrication shops. Potential mobility barriers include uneven ground, obstructed pathways, and work performed at various elevations. Climatic conditions may vary, with exposure to extreme temperatures, humidity, and noise levels from tools and machinery.
