PRIMARY JOB RESPONSIBILITIES:

  • Administrative Duties : Create and uphold a professional work atmosphere. Answer phone calls promptly; manage incoming and outgoing correspondence; procure office supplies and coordinate shipping services; draft reports and other documents as necessary to support site operations. Welcome all visitors, new hires, and employees with a positive and professional demeanor. Communicate effectively and empathetically with all levels of staff and management. Assist corporate in maintaining company assets. Prepare various reports on a daily, weekly, monthly, annual, and job-to-date basis.
  • Human Resources Support : Collaborate with Site Supervision to complete and submit employee documentation (W4, I-9, health questionnaires, training programs, address changes, separation of employment, rehire/transfer forms, applications, EEO forms, benefit and insurance information, CDL, HAZMAT, etc.); schedule employee drug screenings and physical exams; ensure employee orientation packets and training programs are prepared; assist with EEO monitoring and audits; return all Human Resource materials to corporate at the conclusion of the project.
  • Payroll Assistance : Confirm the accuracy of foremen's reports and other data necessary for payroll processing.
  • Operational Support : Aid Site Supervision in establishing utilities and mail services; perform routine office maintenance (cleaning, preparing coffee, servicing office equipment); prepare materials and documents for weekly site management meetings and other meetings as directed by the Site Manager; run errands as required.
  • Safety Coordination : Communicate the location and access to emergency services and clinics, and post emergency service contact information as required. Assist the Safety Manager as needed.
  • Schedule and prepare for meetings involving stakeholders and local groups.

ADDITIONAL JOB FUNCTIONS:

  • Undertake additional tasks as directed by the supervisor.

EDUCATION & EXPERIENCE REQUIREMENTS:

High School Diploma or GED: One year of experience in administration, or an equivalent combination of training and/or experience.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Ability to organize and prioritize multiple tasks.
  • Strong oral and written communication skills.
  • Typing speed of 40-45 words per minute required.
  • Ability to work independently.
  • Proficiency in Microsoft Office applications (i.e., Word, Excel, Outlook, and PowerPoint).
  • Experience with payroll systems.

SAFETY/DRESS REQUIREMENTS:

  • Sleeves must always be worn (no muscle shirts or tank tops).
  • No ripped or cut jeans.
  • Steel or composite toe boots are required.
  • Additional safety equipment will be provided as necessary.

PHYSICAL REQUIREMENTS:

  • Must adhere to the company's drug and alcohol abuse policy.
  • Must be able to pass a pre-employment physical examination, as required by the company.

WORK ENVIRONMENT:

  • Location: industrial construction sites, office, and/or fabrication shop.
  • Mobility Barriers to Access Job Site: Uneven ground level, obstructed pathways, work performed at low and/or high elevations, work performed in confined areas.
  • Climatic/Environmental Conditions at Job Site: Predominantly outdoor climate, potential exposure to extreme hot or cold weather, excessive humidity, rain, various noise levels caused by tools, machinery, equipment, and potential exposure to chemical substances.

This compensation range is based on a full-time schedule.
