Job Responsibilities

The Coordinator of Events and Special Initiatives will provide strategic oversight and direction in the planning and execution of high-quality events and functions.

These events will create meaningful experiences for participants and align with the agency's mission and priorities. This role requires close collaboration with marketing and event leadership from concept to execution.

Additionally, the Coordinator will manage the agency's comprehensive event calendar and coordinate the use of event spaces for both external clients and internal needs.

This includes generating revenue from external clients and tracking reservations for event spaces.

  • Develop, organize, and implement event plans, including timelines, budgets, and logistics. Coordinate all aspects of both small and large-scale events, including venue selection, catering, transportation, and entertainment. Oversee event setup, breakdown, and post-event evaluations. These events should highlight the agency's brand and support various internal and external stakeholders.
  • Establish and maintain relationships with vendors, sponsors, and partners. Collaborate with internal teams and external stakeholders to ensure successful events while adhering to budget constraints. Address and resolve issues that arise during events promptly and effectively. Implement contingency plans to manage unforeseen challenges. Ensure the safety and security of event participants and guests.
  • Maintain detailed records of event activities, contracts, and communications. Negotiate contracts and ensure compliance, working closely with the Procurement Department. Prepare reports and determine metrics for accountability and event success. Prepare and distribute event materials, including agendas, presentations, and attendee lists. Handle event-related inquiries and provide exceptional customer service. Coordinate and communicate the responsibilities required from agency constituents to support event development.
  • Develop and implement special initiatives to showcase agency programs and community engagement, which continue to support and enhance the agency's brand and community presence.
  • Manage and coordinate the rental of agency facilities and properties. Oversee the agency-wide events calendar.

Minimum and Additional Requirements
High School diploma and relevant experience.

Preferred Qualifications

Bachelor's degree in marketing or event planning and five or more years of experience in event planning and coordination.

Ability to work independently, communicate effectively with multiple internal and external partners, possess strong organizational skills, and execute consistently under strict deadlines.
