POSITION SUMMARY: The Payroll Administration Specialist will work under the guidance of the Human Resource Manager to manage and uphold payroll and employee records, including hours worked, tax information, medical and dental insurance, garnishments, union dues, attendance tracking, disciplinary actions, and all other personnel-related documentation.

KEY RESPONSIBILITIES:

  1. PAYROLL MANAGEMENT
  2. Prepare and input payroll data into the system, calculate wages and deductions, and maintain payroll records.
  3. Update employee records with changes affecting net wages, such as exemptions and insurance coverage.
  4. Document employee transfers between departments.
  5. Generate periodic reports detailing earnings and deductions, including vacation and sick leave accruals.
  6. Maintain records of leave and wages.
  7. Disburse paychecks and manage wage withholding checks.
  8. Calculate and issue manual checks, including necessary documentation.
  9. Prepare payroll and monthly reports for medical/dental insurance payments, union dues, pensions, and workers' compensation.
  10. Maintain comprehensive employee information, including personal data, compensation, benefits, tax information, performance evaluations, and conduct exit interviews.
  11. Compile monthly payroll reports and other necessary documentation.
  12. Assist with various projects and tasks assigned by the Human Resource Manager, Controller, and President.

II. HUMAN RESOURCE MANAGEMENT

  1. Contact employees regarding work schedules, shifts, and layoffs.
  2. Track data for EEOC and AA compliance reports.
  3. Monitor attendance daily, including tardiness and no-shows, and inform relevant personnel.
  4. Review applications for completeness.
  5. Notify qualified applicants by phone and arrange testing and interview appointments.
  6. Administer and evaluate aptitude assessments.
  7. Verify employment references through written or verbal communication.
  8. Coordinate appointments for pre-employment drug screenings and physical examinations.
  9. Prepare orientation and safety training materials.
  10. Inform employees to report to work with the necessary identification and documentation.

QUALIFICATIONS

1. Education and Experience
A high school diploma and/or three years of relevant experience are required. Proficiency in computer applications, particularly Microsoft Excel, is essential. Ability to perform ten-key calculations by touch and type at least 35 words per minute is also necessary.

2. Language Proficiency
Ability to read and interpret documents such as safety guidelines, operational instructions, and procedural manuals. Competence in writing routine reports and correspondence. Ability to communicate effectively and professionally in group settings.

3. Mathematical Competence
Ability to perform calculations involving discounts, interest, commissions, proportions, and percentages. Understanding of basic math and algebra concepts.

4. Problem-Solving Skills
Ability to address practical problems and manage various concrete variables in situations with limited standardization. Capacity to interpret diverse instructions provided in written, oral, diagrammatic, or schedule formats. Strong analytical skills and attention to detail are essential.

5. Certifications and Licenses
A valid California Driver's License is mandatory.
