Our Client is in search of a Program Coordinator to oversee various projects and on-demand tasks across multiple sites. This role serves as the primary liaison for project management within the organization.

This position operates during standard business hours, Monday through Friday, with compensation commensurate with experience.

Key Responsibilities:
- Monitor and report on the performance of the project portfolio, ensuring a real-time, comprehensive, and prioritized overview of all initiatives.

- Engage in the creation of projects that may involve diverse innovation challenges, including brand-driven innovation, new business development, product launches, and strategic opportunity exploration.

- Supervise project overhead and capital expenditures to guarantee cost efficiency and address any negative variances promptly.
- Enhance overall profitability by scrutinizing all project-related expenses and reporting on performance discrepancies.
- Support Innovation Managers in integrating cost efficiency strategies into their business cases and project designs.
- Share insights and best practices across various programs.

- Provide guidance to Project Sponsors, Innovation Managers, and teams on optimal project management practices within a dynamic, high-tech setting.

- Foster positive relationships with Project Sponsors.
- Facilitate effective communication within the team by actively participating in meetings.
- Prepare and submit necessary reports.
- Ensure adherence to all policies and procedures.

- Undertake additional roles and responsibilities as assigned by management.

- Develop a Scope of Work and implement work procedures, including performance metrics to ensure efficiency and accuracy in work methods and system reliability.

- Promote continuous quality improvement practices, ensuring compliance with initiatives to maximize benefits for client accounts, and conduct audits of all internal management systems for quality assurance.

- Ensure timely and accurate completion of all financial and procurement requirements.
- Implement documented operational procedures and performance metrics to ensure streamlined work methods and system reliability.
- Lead post-incident reviews with thorough root cause analysis and drive corrective and preventive action plans.
- Interface directly with clients to identify and analyze critical needs, define issues, and develop specifications for solution processes.

- Plan and execute transformation and innovation projects focused on the development, evaluation, and application of new technologies to address both existing and emerging risks.

- Drive continuous quality improvement initiatives across the region, ensuring maximum benefits for client accounts.
- Communicate effectively to keep clients and management informed of any significant risks or events as necessary.

- Generate revenue through the on-demand budget pipeline, converting it into purchase orders, and tracking project delivery in accordance with safety, quality, and timelines.

- Adhere strictly to client safety guidelines in all general maintenance and project work.
- Manage high-risk classified projects in accordance with client environmental health and safety guidelines.
- Possess a solid understanding of general building operations and maintenance (including civil interiors, carpentry, plumbing, and construction management).
- Implement effective quarterly plans on baseline spending to ensure smooth building operations.

- Risk Management: Establish a risk management program (risk register) that identifies major structural risks, including occupational health and safety, fire safety, and essential services related to structural and civil matters.

- Ensure data integrity for all information and comply with global dashboard and audit processes periodically.

- Procurement and Vendor Management: Review the Scope of Work for reliability improvement projects, incorporating feasibility, cost, and risk assessments, and coordinate with procurement for commercial due diligence.

- Review site verifications, clarify the Scope of Work, and conduct technical assessments to ensure process flow aligns with supplier engagement guidelines and commercial processes.

- Review purchase order requests and stakeholder approvals, ensuring timely billing or invoicing and project closure.
- Evaluate contractor performance management programs in accordance with defined deliverables.

Customer Service / Client Relationships:
- Assess service response times and analyze service request trends and suggestions.
- Ensure feedback from client sessions is documented and addressed to the satisfaction of end users.
- Proactively develop and manage client or business unit relationships to ensure expected service levels are met.
- Lead by example and mentor the team to achieve maximum client satisfaction levels.

Reporting:
- Ensure the delivery of meaningful inputs across functional areas for the development of monthly management reports.
- Guarantee data integrity and accuracy for all information reported related to project progress updates, closures, and other critical updates.
- Update dashboards and ensure all reports and relevant data are regularly maintained.

Training:
- Ensure the team is well-versed in project management policies, procedures, and systems.

- Collaborate closely with management to devise innovative learning methods focused on skill development, leadership, and succession planning.


Leadership / Staff Management:
- Cultivate a high-quality, motivated team.
- Encourage proactive behaviors within the team to identify and address issues without waiting for direction.

- Assess resource needs based on project volume and present a business case for resource adjustments with valid justifications.

- Foster an environment that promotes teamwork, cooperation, inclusion, and performance excellence.
- Mentor the team to ensure high morale, trust, and work ethics.
ABOUT YOU: A Bachelor's degree in civil engineering and a Master's in construction management or equivalent from an accredited institution.

- 8 to 15 years of direct project management experience delivering multiple projects in commercial and corporate fit-out office environments, construction areas, and related fields.

- In-depth technical knowledge in construction, project planning, quality control, safety, and design principles.
- Strong interpersonal skills with a client-focused approach.
- Proven team leadership and line management skills with the ability to delegate effectively.

- Experienced in performance-based service contracts and vendor management.

- Ability to meet tight deadlines and work collaboratively to solve problems with professionalism and a service-oriented mindset.
- Proficient in Word, Excel, and PowerPoint, with a keen interest in technology.
- Adaptable to varying requests and projects on a day-to-day basis.
- Capable of communicating analyzed data to clients and teams to achieve project objectives.
