Core Responsibilities:

  1. Patient Onboarding and Appointment Management:
    • Register new patients and ensure accurate and current records are maintained.
    • Coordinate patient appointments and follow-ups, ensuring effective timing and collaboration with other healthcare providers.
    • Welcome patients promptly, assess their needs, and respond appropriately using established protocols.
    • Handle phone inquiries, schedule appointments, and follow up on missed appointments according to clinic guidelines. Document all missed appointments accurately within the system. Contact patients to convey information from the clinic and/or to arrange or modify appointments.
    • Effectively manage phone communications to facilitate calls between patients, providers, referring specialists, office staff, vendors, etc.
    • Address both phone and in-person inquiries from patients.
  2. Quality Monitoring and Compliance:
    • Track and assess quality metrics to ensure adherence to healthcare standards.
    • Ensure that patients receive vaccinations and other preventive care in accordance with established schedules.
    • Collaborate with insurance providers and retrieve patient reports to confirm that patient visits meet core measure compliance.
  3. Medication and Treatment Follow-Up:
    • Oversee and manage follow-ups for ADHD medications to ensure patients comply with prescribed treatment plans.
    • Assist patients in understanding and managing their medication requirements.
    • Contact and schedule follow-ups for patients recently discharged from the emergency department as directed by the physician.
  4. Collaboration with Referring Specialists:
    • Communicate effectively with referring specialists to ensure coordinated and comprehensive patient care by sharing relevant patient information.
    • Consult and collaborate with other healthcare professionals to arrange patient appointments and treatment plans.
    • Assist with the transfer of patient records.
  5. Patient Resources and Assistance:
    • Provide patients with information and resources regarding available programs and services.
    • Act as a resource for patient inquiries, offering guidance and support as necessary.
  6. Documentation and Record Keeping:
    • Maintain thorough and accurate documentation in line with charting standards.
    • Understand and apply ICD-10 and CPT codes for accurate coding and billing.
    • Prepare and maintain electronic patient records, including gathering statistical data, demographic and insurance information, and ensuring completeness of patient records prior to appointments.
    • Scan documents into the patient's electronic medical record in the appropriate folders. Process requests for medical records.
    • Accurately document phone calls and interactions in the patient's chart.
    • Type reports and correspondence with precision.
  7. Patient Recall and Follow-Up:
    • Manage patient recall processes to ensure timely follow-ups and adherence to care plans.
    • Implement strategies for effective patient outreach and engagement.
  8. Professional Representation:
    • Serve as the face of the practice, demonstrating a professional and approachable demeanor in all interactions.
    • Uphold the practice's values and ensure a positive patient experience.
    • Exhibit excellent communication and listening skills toward patients and their families.
    • Consistently maintain a neat and professional appearance, adhering to office uniform standards and hygiene practices.
    • Maintain strict confidentiality regarding all patient care and clinic information.
  9. Additional Responsibilities:
    • Foster effective communication and teamwork. Collaborate well with colleagues and providers to deliver quality and professional service. Perform duties in a patient, courteous, and tactful manner. Be a self-starter, capable of working independently and transitioning efficiently between tasks. Follow directions, accept constructive feedback, and manage multiple interruptions effectively.
    • Maintain a positive attitude and contribute to a supportive work culture.
    • Attend scheduled staff meetings consistently.
    • Take responsibility for attendance and punctuality.
    • Participate in the training and orientation of new staff members.
    • Engage in meetings and training sessions with incentive programs.
    • Prioritize tasks effectively to meet deadlines.
    • Comply with infection control, laboratory, and safety policies and procedures. Adhere to HIPAA and OSHA training requirements.
    • Process patient payments in accordance with policy. Balance the cash register before and after clinic operations. Ensure all transactions are accounted for before breaks and closing.
    • Keep the waiting area tidy and organized throughout the day.
    • Provide backup support to the patient care team as needed.
    • Complete all other assigned duties.

Qualifications:

  1. Education: A high school diploma or equivalent is required; an associate's degree or higher in a medical-related field is preferred.
  2. Experience: Previous experience in a healthcare environment is highly desirable. Familiarity with patient care coordination, quality metrics, and medical coding is advantageous.
  3. Skills:
    • Strong organizational abilities and attention to detail.
    • Excellent communication and interpersonal skills.
    • Ability to work effectively both independently and collaboratively.
    • Proficiency with electronic health records (EHR) and medical office software.
    • Proficiency with Microsoft Office applications including Outlook, Excel, Word, and Teams.
    • Familiarity with ICD-10 and CPT coding.

Working Conditions:

  • This is a full-time position with standard office hours, Monday through Friday.
  • Occasional flexibility may be required to meet patient needs and practice demands.
  • Must be able to lift up to 15 pounds.
