Position Overview:

Our organization is looking for a Program Coordinator to oversee projects and on-demand tasks across various sites in the Midwest. This role serves as the primary liaison for project management.

This position operates during standard business hours, Monday through Friday, with compensation commensurate with experience.

Key Responsibilities:
  • Monitor and report on project portfolio performance, delivering a real-time, detailed, and prioritized overview of all initiatives.
  • Engage in the creation of projects that may involve diverse innovation challenges, including brand-led initiatives, new business ventures, product development, and strategic exploration.
  • Oversee project overhead and capital expenditures to ensure cost efficiency and take corrective actions as necessary.
  • Contribute to overall profitability by tracking all project expenditures and reporting on performance against budgetary variations.
  • Assist Innovation Managers in integrating cost efficiency strategies into their business cases and project designs.
  • Facilitate the sharing of lessons learned and best practices across various programs.
  • Advise Project Sponsors and teams on the effective application of project management methodologies in a dynamic, high-tech environment.
  • Foster positive relationships with Project Sponsors and ensure effective communication within the team by actively participating in meetings.
  • Prepare and submit necessary reports while ensuring compliance with all organizational policies and procedures.
  • Develop and implement the Scope of Work, including performance measures to enhance the accuracy and reliability of work methods.
  • Implement continuous quality improvement practices to maximize client account benefits and audit internal management systems for quality assurance.
  • Ensure timely and accurate completion of all financial and procurement requirements.
  • Lead post-incident reviews with comprehensive root cause analysis and drive corrective and preventive action plans.
  • Engage directly with clients to identify critical needs, define problems, and develop specifications for solutions.
  • Plan and execute transformation and innovation projects focused on new technology development and application to both existing and emerging risks.
  • Drive continuous quality improvement initiatives across the region to enhance client account benefits.
  • Communicate effectively to keep clients and management informed of any significant risks or events.
  • Generate revenue through on-demand budget pipelines, converting them into purchase orders, and ensuring project delivery aligns with safety, quality, and timelines.
  • Adhere to client safety guidelines in all general building maintenance and projects.
  • Manage high-risk projects in accordance with client environmental health and safety guidelines.
  • Possess sound knowledge of general building operations and maintenance, including civil interiors, carpentry, plumbing, and construction management.
  • Develop effective quarterly plans for baseline spending to ensure seamless building operations.
  • Implement a risk management program that identifies major structural risks, including occupational health and safety, fire safety, and essential services.
  • Ensure data integrity and compliance with global dashboards and audit processes.
  • Review Scope of Work for reliability improvement projects, coordinating with Procurement for commercial due diligence.
  • Evaluate contractor performance management programs against defined deliverables.
Client Relationship Management:
  • Assess service response times and analyze service request trends.
  • Record feedback from client sessions and take action to ensure client satisfaction.
  • Proactively develop and manage client relationships to meet expected service levels.
  • Lead by example and mentor the team to achieve high levels of client satisfaction.
Reporting:
  • Deliver meaningful insights for the development of monthly management reports.
  • Ensure data integrity and accuracy in all project progress updates and other critical information.
  • Regularly update organizational dashboards and reports.
Training and Development:
  • Ensure the team is well-versed in project management policies and procedures.
  • Collaborate with management to create innovative learning methods focused on skill development and leadership.
Leadership:
  • Build and maintain a motivated, high-quality team.
  • Encourage proactive behaviors to identify and address issues without waiting for direction.
  • Assess resource needs based on project volume and present justifications for adjustments.
  • Foster an environment that promotes teamwork, cooperation, inclusion, and excellence.

Qualifications:
  • Bachelor's degree in civil engineering or a related field, with a Master's in construction management preferred.
  • 8 to 15 years of direct project management experience in commercial and corporate environments.
  • Strong technical knowledge in construction, project planning, quality control, safety, and design principles.
  • Excellent interpersonal skills with a client-focused approach.
  • Proven leadership and delegation skills.
  • Experience with performance-based service contracts and vendor management.
  • Ability to meet tight deadlines and work collaboratively to solve problems.
  • Proficient in Microsoft Office Suite and interested in technology.
  • Adaptable to varying project requests.
  • Effective communicator of analyzed data to achieve project goals.
