Job Overview

This role is pivotal in providing comprehensive administrative support to the Medical Management Team (MMT) and healthcare providers. The individual will manage correspondence, maintain essential documentation, and offer assistance to the Chief Medical Officer (CMO) and Regional Medical Directors (RMD). The position requires a high level of professionalism and discretion, handling sensitive information with care.

Key Responsibilities

Provider Recruitment:

  • Screen candidate résumés for relevant experience and qualifications.
  • Prepare detailed summaries of candidates' skills for team review.
  • Coordinate interview scheduling and site visits.

Provider Credentialing:

  • Facilitate the hiring process in collaboration with Human Resources.
  • Ensure all credentialing documents are current for providers.
  • Coordinate with Credentialing to gather necessary documentation.

Provider Onboarding:

  • Distribute updated policies and collect acknowledgment from providers.
  • Organize meetings for new providers with leadership.
  • Create onboarding templates tailored to specific roles.

Provider Meetings:

  • Manage logistics for meetings, including space reservation and refreshments.
  • Assist in preparing agendas and taking minutes.
  • Support the Executive Assistant as needed.

Provider Support:

  • Schedule meetings and coordinate provider commitments.
  • Prepare necessary documentation for provider signatures.
  • Monitor and track provider Continuing Medical Education (CME) submissions.

Patient Grievance Management:

  • Track and respond to patient grievances in a timely manner.
  • Document complaints and prepare necessary reports for review.

Administrative Supplies Management:

  • Manage inventory and distribution of medical supplies.
  • Request quotes and track invoices as needed.

Communication and Customer Service:

  • Maintain professionalism and discretion in all interactions.
  • Address provider inquiries with a positive and helpful attitude.
Qualifications

Education: An AA or BA/BS degree is preferred, along with a minimum of two years of executive-level support experience, ideally in the healthcare sector.

Skills: The candidate should possess strong organizational skills, the ability to adapt in a fast-paced environment, and excellent communication skills, both verbal and written. Proficiency in Microsoft Office is essential.
