Guardians of Honor LLC is a distinguished management consulting firm dedicated to serving federal government entities. We are seeking a dynamic and experienced professional in Federal Grants Management to enhance our support for federal partners.

The ideal candidate will possess a proven history of effectively overseeing the daily operations of multiple simultaneous grants management initiatives, including supervisory experience with a team of at least 10 full-time employees (FTEs). You should have a strong background in crafting new project plans and timelines, ensuring timely updates, and guiding the completion of all deliverables associated with federal grant program management contracts. Your role will involve delivering innovative, service-oriented, and technical solutions to federal clients while developing standard operating procedures (SOPs) and quality controls to guarantee the timely and high-quality completion of required deliverables.

Key Responsibilities:

  • Provide substantial knowledge and expertise to the project team based on extensive experience with federal grants management contracts and task orders.
  • Initiate new projects and sustain existing ones, focusing on all facets of federal grant program management support, including applicant technical assistance, outreach, communications, grantee convenings, webinars, workshops, data analytics, executive support for federal Senior Executive Service (SES) members, program support for grant program officers, grantee training, technical assistance, capacity building, grant monitoring, program assessments, portfolio analysis, fiscal monitoring, internal controls, and closeout processes.
  • Develop, oversee, and revise timelines for multiple concurrent projects, with project sizes ranging from $1 million to $5 million and/or single contracts exceeding $20 million with multiple concurrent task orders.
  • Manage master schedules, conduct staff forecasting, and implement risk management strategies across concurrent contract efforts.
  • Establish task allocations and monitor staff performance to ensure timely delivery to clients.
  • Lead weekly contract management meetings and daily stand-ups as necessary to facilitate contract execution, including documenting meeting actions and decisions.
  • Oversee contract deliverables and tasks, implementing quality controls to ensure products and services meet or exceed client expectations.
  • Manage project budgets and prepare financial and progress reports.
  • Provide guidance and direct internal staff, subcontractors, and consulting subject matter experts (SMEs) in executing grant program management activities.
  • Mentor and support staff in task execution and deliverable development.
  • Be prepared to engage in hands-on support for your team in executing both complex and straightforward tasks, from intricate database administration to ensuring application screening remains on schedule.
  • Adapt technical and management skills to various contexts and projects.
  • Possess familiarity with federal requirements (e.g., 2 CFR 200, agency-specific grant guidance, GPRA, Evidence Act) and ensure compliance for clients.
  • Create process documentation and other job aids to support the delivery of grants management services and team management.
  • Act as the primary point of contact for federal clients, ensuring consistent and open communication that fosters trust.
  • Communicate consistently with a high degree of professionalism, diplomacy, and tact.

Qualifications:

  • Bachelor's degree required; master's degree preferred.
  • PMP certification highly desired.
  • Significant experience in areas related to education and health and human services is a major plus (e.g., project management, business, public administration, educational research, support for underserved or marginalized groups, special education).
  • At least 5 years of relevant experience in a project management role overseeing multiple concurrent task orders and contracts, with contract sizes of $1 million to $5 million for concurrent contracts and at least $20 million for single, multi-task order contracts.
  • At least 5 years of professional experience in federal contracting, preferably in federal grants management.
  • Experience supervising staff and managing teams of 20 or more FTEs.
  • Understanding of federal grants management processes and practices.
  • Advanced proficiency with project management software (e.g., MS Project, Smartsheet) and MS Office Suite, particularly MS Excel.
  • Comfortable working with various virtual event platforms (e.g., Zoom, Teams, Connect).
  • Experience in developing task order requests and associated work plans and timelines.
  • Experience in creating project process documentation and quality control procedures for deliverables and daily tasks.
  • Exceptional communication skills with the ability to adjust style to meet the needs of diverse customers.
  • Adept at prioritizing multiple tasks in a fast-paced, customer-centric environment.
