DEPARTMENT OVERVIEW

The Division of Extended Studies (DES) operates as a self-sustaining entity, delivering educational programs year-round with a significant annual budget primarily derived from fee income.

With a dedicated workforce of over 200 employees, including academic, management, and support staff, DES also engages numerous casual and contract personnel, alongside a vast network of instructors.

Our facilities encompass 200,000 square feet, featuring a large off-campus classroom and a robust online learning platform that operates continuously. We facilitate over 60,000 enrollment transactions annually, alongside numerous outreach and service transactions, supporting a global network of representatives and students.

Additionally, DES manages two television stations and is involved in various public programs and research initiatives.

As part of our commitment to community engagement, we have taken on a significant downtown center, enhancing our educational offerings and community programs.


POSITION OVERVIEW

Under the general supervision of the Student Services Manager, this role is pivotal in delivering exceptional customer service to the public regarding Extension and degree-related programs.

The incumbent will serve as the Lead Administrative Assistant in the absence of the site manager, providing vital information about courses, certificate programs, and academic departments.

Key responsibilities include:

  • Registering students through various communication channels.
  • Processing requests for transcripts, course descriptions, and enrollment verifications in a timely manner.
  • Conducting audits for certificate completions and providing guidance on various student services.
  • Collaborating with the Student Services Manager to coordinate proctoring services.

This position requires flexibility in working hours, including alternating Saturdays and potential overtime during peak enrollment periods. The primary work location will be designated by the organization, and the role is fully onsite.

Qualifications for this position include demonstrated experience in front-desk customer service within an academic environment, strong problem-solving skills, and proficiency in standard office technology.
