A typical day as a Tax Administrative Coordinator might include the following:

Providing administrative assistance to partners and managers with professionalism and integrity.

Coordinating departmental meetings, seminars, and conference calls while documenting minutes as necessary.

Executing billing procedures for the department, including time transfers, aging requests, and bill preparation.

Setting up new clients and managing existing client information in the practice management system.

Assisting with the processing of proposals.

Formatting, copying, and binding financial statements for partner review and signature.

Processing tax returns.


Signing documents on behalf of partners and managers as authorized, including correspondence and other written materials.

Scheduling appointments and arranging travel logistics.

Composing and typing routine correspondence such as orders, memos, letters, and reports.

Performing various scanning, filing, faxing, and copying tasks as required.

Reviewing, sorting, and routing incoming mail; distributing outgoing mail.

Welcoming visiting clients and directing them to the appropriate personnel.

Answering phone calls and providing information to callers; routing calls to the correct staff.

Ordering and maintaining office supplies.

Filling in for the receptionist and offering administrative support to other departments as needed.

Ensuring timely and accurate completion of assigned projects.

Maintaining compliance with project budgets, turnaround times, and deadlines.

Qualifications:

Who You Are:
You possess a High School Diploma and have at least 2 years of experience in administrative support.

You excel in a fast-paced, high-volume work environment.

You are adept at multitasking, and you consistently meet deadlines.

You can swiftly prioritize and organize your workload to address immediate tasks.

You uphold the highest professional standards and ensure strict client confidentiality.

You are proficient in Microsoft Excel, Word, Outlook, DocuSign, Teams, and Adobe Acrobat. Experience with Power BI and Salesforce is advantageous.

You are exceptionally detail-oriented with strong verbal and written communication skills; reviewing communications and correcting errors is a task you enjoy.

You thrive in collaborative environments and also appreciate working independently with minimal supervision.

You are willing to work overtime as necessary.


This position requires prolonged periods of standing and sitting, some bending, stooping, and stretching, as well as the ability to lift up to 20 lbs.

Must be authorized to work in the United States now or in the future without visa sponsorship.
