Job Summary

We are seeking a highly skilled and compassionate Patient Relations Representative IV to join our team at the Medical College of Wisconsin. As a key member of our clinical access team, you will play a critical role in ensuring a positive experience for our patients and their families.

Key Responsibilities
  1. Schedule Management: Schedule, cancel, and reschedule appointments for multiple specialties and locations, providing clear instructions and directions to patients.
  2. Chart Review and Coordination: Review patient charts and medical records to determine the most suitable physician and requirements for their visit, and interact with clinical providers to coordinate visit needs.
  3. Customer Service and Support: Provide exceptional customer service, responding to patient inquiries, and routing calls, messages, and requests to the appropriate individuals or areas.
  4. Registration and Insurance Verification: Complete full registration, including setting up insurance coverage for new patients and verifying registration and coverage information for established patients.
  5. Referral Management: Work through referral queues, faxes, email, and other correspondence to schedule patient appointments, create referrals, track completion, and communicate with referring physicians.
  6. Web Appointment Requests: Manage web appointment requests for assigned teams.
  7. Communication and Collaboration: Develop a strong understanding of Froedtert & Medical College of Wisconsin clinic locations and affiliate facilities, and provide accurate directions to patients.
  8. Quality and Accuracy: Follow detailed protocols and enterprise scheduling tools to ensure accuracy of all appointment scheduling, registration, and information provided to patients.
  9. Problem-Solving and Customer Satisfaction: Anticipate customer needs, resolve problems, and ensure a positive customer experience, employing sound judgment to ensure the best possible public relations.
Requirements
  • High school diploma
  • 3 years of experience in a related field
  • Excellent communication, interpersonal, and problem-solving skills
  • Ability to work in a fast-paced environment and prioritize multiple tasks
  • Knowledge of quality control, customer service standards, information management, and procedural processes
