Client Services Coordinator

Position Overview:
This role is essential for providing administrative support within a facility management organization. The Client Services Coordinator will serve as a vital link between clients and the internal team, ensuring smooth communication and efficient operations.
Key Responsibilities:
- Administrative Support: Act as the central hub for information dissemination among the Client Services team and field personnel, ensuring effective communication.
- Client Interaction: Respond to client inquiries promptly through various communication channels, maintaining a high level of professionalism.
- Website Management: Oversee website-related tasks, including content updates and managing client inquiries to ensure accurate information is available.
- Event Coordination: Organize client events by managing logistics, invitations, and materials, demonstrating strong planning and attention to detail.
- Meeting Arrangements: Schedule meetings based on requests, ensuring all necessary materials and arrangements are in place.
- Issue Resolution: Identify and escalate any challenges that arise to ensure effective resolution.
- Client Database Maintenance: Keep an updated master list of client contacts to facilitate smooth communication.
- Proposal Development: Collaborate with the Client Services and operations teams to compile proposals and contracts, ensuring professional presentation and accuracy.
- Business Acumen: Understand business dynamics and pricing scenarios to recommend solutions that enhance proposal completion.
- Documentation Management: Maintain an organized filing system for contracts and proposals to ensure efficient retrieval.
- Service Communication: Relay any changes in services to internal departments and clients as directed.
Additional Duties:
Generate reports as needed, manage supply orders, and provide other administrative support as required.
Qualifications:
A minimum of a high school diploma is required, with a college degree preferred. Candidates should have over 5 years of administrative experience supporting upper management. Proficiency in Microsoft Office Suite is essential, along with strong client service skills and attention to detail. The ability to work independently and as part of a team in a fast-paced environment is crucial.
