Position Overview:

We are currently seeking a Temporary Client Services Administrator to support our Client Services team. This role is crucial in ensuring smooth operations and effective communication within the organization.

Key Responsibilities:

  • Administrative Support: Serve as a central hub for information, facilitating communication between the Client Services team and Field Personnel.
  • Client Interaction: Respond to client inquiries through various communication channels, maintaining a high level of professionalism.
  • Website Management: Oversee website-related tasks, including content updates and managing client inquiries to ensure accurate information is available.
  • Event Coordination: Organize client events by managing logistics, invitations, and materials, demonstrating strong planning and attention to detail.
  • Meeting Arrangements: Schedule meetings and ensure all necessary materials and travel arrangements are prepared.
  • Issue Resolution: Address challenges promptly and escalate concerns to the appropriate parties as needed.
  • Client Database Maintenance: Keep an updated master list of client contacts to facilitate effective communication.
  • Proposal Development: Collaborate with the Client Services and operations teams to compile proposals and contracts, ensuring they are professional and well-organized.
  • Documentation Management: Maintain an electronic filing system for contracts and proposals to ensure efficient retrieval of information.
  • Service Communication: Relay any changes in services to both internal teams and external clients as directed.

Additional Duties:

  • Generate reports as requested.
  • Manage supply orders and maintain necessary inventory.
  • Provide general administrative support as required.

Qualifications:

  • Minimum of a high school diploma; a college degree is preferred.
  • At least 5 years of administrative experience supporting upper management.
  • Proficient in Microsoft Office Suite with the ability to manipulate data effectively.
  • Strong client service skills with a focus on exceeding client expectations.
  • Exceptional attention to detail and accuracy.
  • Ability to work independently and manage multiple projects in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Familiarity with social media platforms is advantageous.
