- Client Communication: Manage client inquiries through various channels, maintaining a high level of professionalism and responsiveness.
- Website Management: Oversee website-related tasks, including content updates and managing client inquiries to ensure accurate information is available.
- Event Coordination: Organize client events by handling logistics, invitations, and materials, demonstrating strong planning and attention to detail.
- Meeting Arrangements: Schedule meetings and manage logistics, ensuring all necessary materials and arrangements are in place.
- Issue Resolution: Identify and escalate challenges promptly to ensure effective resolution.
- Client Database Maintenance: Keep an updated master list of client contacts to facilitate smooth communication.
- Proposal Development: Collaborate with the Client Services and operations teams to compile and organize proposals and contracts, ensuring they are professional and compelling.
- Documentation Management: Maintain an organized electronic filing system for contracts and proposals to ensure efficient retrieval.
- Service Communication: Relay changes in services to both internal departments and external clients as directed.
Additional Duties:
- Generate reports as needed.
- Manage supply orders and filing tasks.
- Provide general administrative support as required.
Qualifications:
- Minimum of a high school diploma; a college degree is preferred.
- At least 5 years of administrative experience supporting upper management.
- Proficient in Microsoft Office Suite with the ability to manipulate data effectively.
- Strong client service skills with a focus on exceeding client expectations.
- Meticulous attention to detail and a high standard for accuracy.
- Ability to thrive in a fast-paced environment with multiple projects.
- Excellent written and verbal communication skills.
- Proactive in seeking process improvements and efficiencies.
- Ability to work independently and collaboratively within a team.
