Pre-Award Grant Administrator

The Pre-Award Grant Administrator is responsible for managing pre-award activities for the College of Agricultural, Human, and Natural Resource Sciences (CAHNRS) within the Grants Team. This role requires knowledge of grant and contract management rules and regulations, technical expertise, and analytical skills. The successful candidate will contribute to a cross-functional team, performing pre-award activities while ensuring effective and efficient workflow and adherence to quality standards for faculty and staff.
Key Responsibilities
- Assist departmental faculty/PI in the development, preparation, and submission of grant and contract proposals.
- Ensure all applications meet agency and university guidelines and published time tables and deadlines.
- Manage the Just-In-Time process and ensure proposals are entered and routed in a timely manner for further review.
- Confer with PI and Pre-award support staff at collaborating institutions to secure necessary sub-awards documents for proposals.
- Assist the PI in the development of budgets and budget justification, including proofing the budget for inconsistencies and ensuring accuracy.
- Review budgets for consistency with sponsor, monitor compliance with agency and University regulations regarding submission, and verify all financial information.
- Advise the PI on administrative requirements in preparing proposal submissions and on budget adjustments and revisions necessary to meet the sponsor requirements.
- Coordinate and review certain proposal elements (bio-sketches and facilities& resources) for consistency, accuracy, and completeness.
- Review proposals for consistency with sponsor guidelines on budget, format, font size, and page limits excluding narrative content.
- Monitor and facilitate proposal process through the routing process in compliance with university procedures and institutional signatures.
- Obtain signatures as needed and work effectively with other offices (central, school, departments, divisions, RAS units) on research proposals.
- Prepare high-quality written documents, analyze data, and formulate conclusions.
- Review and process award documents through the routing process in compliance with university procedures.
- Provide training to individuals throughout the college responsible for grant post-award management.
Requirements
- Bachelor's degree in a field relevant to the area of specialization and three (3) years of experience directly related to the specialty area.
- Demonstrated grants administration or grants/contracts experience in which developing, monitoring, and ensuring outcomes/compliance was required.
- Demonstrated understanding of grant agreements and compliance requirements.
- Demonstrated ability to develop and meet goals and deadlines.
- Exceptional written and oral communication skills.
- Ability to use automated spreadsheets and other tools for financial analysis and reporting.
- Strong interpersonal skills with the ability to maintain positive working relationships with others.
