Position Overview:

The Senior Executive Coordinator plays a pivotal role in providing high-level administrative support to the CEO and the Executive Team at Kashiv BioSciences LLC. This position serves as the primary liaison for both internal and external stakeholders regarding all matters related to the CEO's office. The Senior Executive Coordinator is responsible for facilitating executive outreach, managing special projects, and ensuring effective communication across the organization.

Key Responsibilities:

  • Manage a diverse range of administrative tasks for the CEO and Executive Team, including maintaining a dynamic calendar, preparing expense reports, drafting confidential correspondence, and organizing intricate travel arrangements.
  • Collaborate closely with the CEO to keep him/her informed of upcoming commitments and responsibilities, ensuring timely follow-ups on critical issues.
  • Handle essential deliverables with a proactive approach, including drafting acknowledgment letters and personal correspondence that support the CEO's leadership initiatives.
  • Communicate on behalf of the CEO with affiliates, donors, and Foundation staff regarding programmatic initiatives.
  • Research and prioritize incoming issues directed to the CEO, determining the appropriate course of action for sensitive matters.
  • Facilitate smooth communication between the CEO's office and various internal departments, fostering credibility and trust with senior management.
  • Lead the development of relationships essential for organizational success and manage special projects with potential organizational impact.
  • Effectively prioritize conflicting needs and manage projects to successful completion, often under tight deadlines.
Additional Duties:
  • Act as a liaison for senior management, assisting in scheduling and attending executive meetings.
  • Coordinate agendas for senior management meetings and staff gatherings.
  • Support cross-departmental coordination of travel and outreach initiatives.
  • Maintain and update the CEO's biography and respond to requests for organizational materials.
  • Edit and finalize drafts for communications directed at external stakeholders.
  • Collaborate with the Strategic Initiatives team to coordinate the CEO's outreach efforts.
  • Follow up on contacts made by the CEO to nurture ongoing relationships.
  • Prepare acknowledgment letters from the CEO to external partners and resources.
Qualifications:
  • A minimum of 5 years of experience supporting C-Level Executives.
  • Demonstrated interest in internal and external communications, partnership development, and alliance building.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, and various social media platforms.
Preferred Qualifications:
  • Bachelor's Degree (BA/BS) is preferred.
  • Exceptional organizational skills with the ability to manage multiple tasks with meticulous attention to detail.
  • Strong interpersonal skills to build relationships with stakeholders, including staff and external partners.
  • Excellent written and verbal communication skills.
  • Proactive problem-solving abilities with strong decision-making skills.
