Key Responsibilities:
  • Draft and manage corporate, regulatory, and transactional legal documents.
  • Oversee calendars and maintain contact lists.
  • Perform administrative duties such as dictation, billing, time tracking, expense reimbursements, and filing.
  • Coordinate appointments, meetings, and travel logistics.
  • Develop, update, and format presentations using PowerPoint.
  • Facilitate the mailing, scanning, faxing, or delivery of legal correspondence and documents.
  • Handle incoming and outgoing telephone communications.
  • Make copies of correspondence, documents, and other materials.
  • Ensure timely completion of documents and requests.
  • Create and modify documents, including mail merges, charts, graphs, and tables.
  • Utilize scanning equipment and software to digitize and enhance documents.
  • Convert and refine documents from various software applications.
  • Exhibit strong communication skills to interact effectively with personnel at all levels.
  • Demonstrate flexibility in working overtime as needed.
Qualifications:
  • Bachelor's Degree is required.
  • 5-10+ years of experience in a law firm setting is preferred.
  • Experience in corporate law is highly desirable.
  • Exceptional organizational skills and attention to detail are essential.
  • Proficient typing skills of at least 65 words per minute.
  • Advanced proficiency in Word, Excel, Nuance (or Adobe Pro), and PowerPoint.
  • Familiarity with advanced functions and styles in Word (Innova experience is a plus).
  • Knowledge of legal formatting, procedures, and terminology.
  • Working knowledge of Windows applications, including email and document management systems (iManage experience is a plus).
Additional Information:

Supervisory Role: This position does not have direct supervisory responsibilities.

Work Environment: This role is situated in a professional office setting.

Position Type: This is a full-time role with a standard work schedule from Monday to Friday. Occasional evening and weekend work may be required based on job responsibilities.

Travel Requirements: Minimal to no travel is anticipated for this position.
