Position Overview:

As a key member of our reservations team, the Guest Reservation Specialist will play a vital role in delivering exceptional service to our guests. Reporting directly to the Director of Operations, this position is essential in managing guest inquiries and ensuring a seamless booking experience.

Key Responsibilities:
  • Respond promptly and professionally to all incoming calls.
  • Provide tailored assistance to guests, addressing their preferences and special requests with care.
  • Efficiently manage room availability and accurately process reservations using the property management system.
  • Offer comprehensive information about hotel amenities, services, and local attractions to enhance guest experiences.
  • Maintain precise records of reservations, guest preferences, and special requests.
  • Collaborate with the Lead Reservationist on marketing initiatives and promotional campaigns.
  • Ensure meticulous attention to detail when entering reservations, including managing VIP requests.
  • Process group rooming lists in accordance with established guidelines.
  • Conduct thorough research on daily arrivals to ensure readiness.
  • Communicate effectively with Front Office, Housekeeping, and Sales Teams to guarantee smooth service delivery.
  • Manage written correspondence with guests and potential guests.
Reservation Management:
  • Scrutinize all reservations for accuracy and relevance.
  • Merge duplicate profiles and check for specific guest requests.
  • Update VIP codes and ensure amenity comments are noted.
  • Verify memberships and resolve any issues encountered.
Preferred Qualifications:
  • Experience with hotel and OPERA property management systems is highly desirable.
  • Prior experience in a similar role within the hospitality sector is preferred.
  • Outstanding customer service skills with a friendly demeanor.
  • Strong communication and interpersonal skills.
  • Excellent organizational and multitasking abilities.
  • Proficiency in reservation software and Microsoft Office Suite.
  • Flexibility to work various shifts, including evenings and weekends.
  • Knowledge of local attractions and amenities is a plus.
  • A high school diploma or equivalent is required.
