Position Title:

Guest Reservation Specialist

Reporting to: Director of Operations

Role Overview: As a Guest Reservation Specialist, you will play a crucial role in our reservations department, collaborating closely with the Lead Reservationist and reporting directly to the Director of Operations. Your main duty will be to assist guests with their booking inquiries, ensuring a high level of service and satisfaction.

Key Responsibilities:

  • Promptly and professionally handle all incoming calls.
  • Provide tailored assistance to guests, addressing their needs and preferences with care.
  • Manage room inventory efficiently and input accurate reservations into the property management system.
  • Offer guests comprehensive information about hotel amenities, services, and local attractions to enhance their stay.
  • Maintain precise records of reservations, guest preferences, and special requests.
  • Support the Lead Reservationist with marketing initiatives, including promotional campaigns and rate management.
  • Ensure attention to detail when processing reservations, including VIP management.
  • Accurately enter group rooming lists in accordance with Group Blocks.
  • Conduct thorough research on daily arrivals.
  • Communicate effectively with the Front Office, Housekeeping, and Sales Team to ensure seamless service for all guests.
  • Engage in written communication with guests and potential guests.
  • Organize and prioritize emails, escalating potential issues to the Lead Reservationist or Director of Operations.
  • Respond to all inquiries regarding room rates, ensuring accuracy based on stay history and promotional rates.

Reservation Management:

  • Scrub all reservations by moderating comments and merging profiles.
  • Check for specific guest requests and proactively reach out to guests with options.
  • Update VIP Codes as requirements are met.
  • Ensure amenity comments are included and special Rate Code requirements are noted.
  • Verify memberships and resolve any issues encountered.

Preferred Qualifications:

  • Experience with hotel and OPERA property management systems is highly desirable.
  • Previous experience in a similar role within the hospitality sector is preferred.
  • Exceptional customer service skills with a friendly demeanor.
  • Strong communication and interpersonal skills.
  • Excellent organizational and multitasking abilities.
  • Proficiency in reservation software and Microsoft Office Suite.
  • Flexibility to work various shifts, including evenings, weekends, and holidays.
  • Knowledge of local attractions and amenities is a plus.
  • A high school diploma or equivalent qualification is required.
