Job Summary

Cary Medical Center is seeking a highly organized and detail-oriented Medical Office Coordinator to join their Oncology clinic team. As a key member of the administrative staff, you will be responsible for managing patient information, handling front office duties, and ensuring the smooth operation of the clinic's administrative functions.

Key Responsibilities:

  1. Intake and Checkout Process: Responsible for moving patients through the intake and checkout process, ensuring all procedures are closely followed to aid in efficiency of patient care.
  2. Procedure Management: Ensures that all procedures, from pulling the correct files to charting insurance information, are closely followed to maintain efficiency and accuracy.
  3. Communication: Triages calls and directs them to the correct level of staff, including physicians, nurse managers, and office nurses.
  4. Scheduling: Intake of new referrals and schedules appointments appropriately, maintaining daily schedules and coordinating necessary meetings and appointments.
  5. Data Collection: Collects and prepares new patient working files and electronic records, ensuring accurate and up-to-date information.

Requirements:

Educational and Skills Requirements:

  1. Previous Medical Office Experience: Previous experience in a medical office setting is preferred.
  2. Technical Skills: Knowledge and skill in Microsoft Office (Outlook, Word, Excel) and ability to maintain a working knowledge of EMR systems.
  3. Interpersonal and Customer Service Skills: Ability to answer phones and converse courteously and in a professional manner, with strong interpersonal and customer service skills.
  4. Responsibility and Flexibility: Maintains a high standard of responsibility, accountability, and flexibility, with the ability to work outside core hours as needed.

Availability Requirements:

  1. Core Hours: Core hours are generally 0800 to 1600 Monday-Friday, as scheduled clinic hours dictate need.
  2. Flexibility: Depending on department staffing needs, may need to work outside these core hours, nights, weekends, and holidays.
