Job DescriptionOverview:

Egan Company is in search of qualified candidates for the role of Service Dispatch Coordinator. This position is pivotal in managing customer communications, scheduling appointments, and orchestrating daily tasks for Service Field Technicians. Your capacity to handle multiple responsibilities, prioritize effectively, and foster strong relationships will be essential in delivering exceptional customer service.

Key Responsibilities:

The primary duties of the Service Dispatch Coordinator encompass, but are not limited to, the following:

  • Receive and make phone calls with enthusiasm; advocate for Egan's services and arrange appointments.
  • Demonstrate urgency in a dynamic, fast-paced environment while maintaining attention to detail and a focus on business growth.
  • Collaborate closely with Account Managers, Inside Sales, and Labor Managers on daily operations.
  • Oversee service requests for a team of technicians to ensure timely completion of tasks.
  • Initiate outbound calls and emails to arrange Preventive Maintenance schedules.
  • Maintain relationships with subcontractors and internal departments.
  • Direct calls to the appropriate teams.
  • Utilize current scheduling software to manage individual schedules for the team.
  • Employ Google Sheets to monitor and document the progress of service requests.
  • Provide backup support for team members during their absence.
  • Verify customer data within our ERP system for accuracy.
  • Input customer information and opportunities into Egan's CRM system.
  • Review call summary reports and distribute them based on required follow-up actions.
  • Manage service requests and maintenance tasks for a team of technicians.
  • Be available to take the On-Call Phone on a rotating basis.
  • Assist with special projects and other tasks as assigned.
  • Maintain professionalism, positive relationships, and open communication with Egan employees and clients.
  • This role may require a start time between 7:00 am and 8:00 am and occasional after-hours support.
  • Other duties as assigned.
Requirements:
  • High school diploma or equivalent is required.
Qualifications:
  • A willingness to learn and continuously improve.
  • Experience in the construction industry is preferred but not mandatory, including fields such as low voltage, electrical, HVAC, or plumbing.
  • Excellent interpersonal communication skills, with the ability to engage with all levels of employees and clients.
  • Strong organizational abilities.
  • Capability to work independently with minimal supervision.
  • Proficient typing and computer skills.
  • A team-oriented mindset, willing to assist colleagues as needed.
Working Conditions:
  • All duties will be performed in an office environment.
  • Ability to stand or sit for extended periods is required.
