This role is essential in managing customer communications through phone and email, scheduling appointments, and overseeing the daily tasks assigned to Service Field Technicians. Your skills in multitasking, prioritization, and relationship building will be vital in delivering exceptional customer service.
Responsibilities:The primary duties of the Service Dispatch Coordinator encompass, but are not limited to, the following:
- Respond to incoming calls and initiate outbound communications with enthusiasm; promote Egan's services and manage appointment bookings.
- Exhibit a sense of urgency in a dynamic, fast-paced environment while maintaining attention to detail and identifying growth opportunities.
- Collaborate closely with Account Managers, Inside Sales, and Labor Managers on a daily basis.
- Oversee service requests for a team of technicians to ensure timely completion of work.
- Conduct outbound calls and send emails to arrange Preventive Maintenance.
- Foster relationships with subcontractors and internal teams.
- Direct calls to the appropriate departments.
- Utilize current scheduling software to maintain individual schedules for the team.
- Employ Google Sheets to monitor and document the progress of service requests.
- Provide backup support for team members during their absence.
- Verify customer data within our ERP system for accuracy.
- Input customer information and opportunities into Egan's CRM software.
- Review call summary reports and distribute them based on required follow-up.
- Manage service requests and maintenance for a team of technicians.
- Be available to take the On-Call Phone on a rotating basis.
- Assist with special projects and other tasks as needed.
- Maintain professionalism, positive working relationships, and open communication with Egan employees and customers.
- This position may require flexible start times and occasional after-hours support.
- Perform other duties as assigned.
- High school diploma or equivalent is required.
- Willingness to learn and continuously improve.
- Some experience in the construction industry is preferred, such as in low voltage, electrical, HVAC, or plumbing.
- Excellent interpersonal communication skills with the ability to engage with all levels of employees and customers.
- Strong organizational capabilities.
- Ability to work independently with minimal supervision.
- Proficient typing and computer skills.
- Team-oriented mindset, ready to assist others as necessary.
- All duties will be performed in an office environment.
- Able to stand or sit for extended periods.
