The Craft Support Specialist plays a crucial role in delivering administrative assistance to the craft recruitment division within TEI Construction Services, Inc.

Key Responsibilities:

  • Efficiently collect, compile, analyze, input, and summarize diverse data from multiple sources.
  • Organize departmental meetings and events; manage schedules and meeting times.
  • Prepare business communications, reports, spreadsheets, and presentations; ensure all documentation is professional and consistent.
  • Complete general administrative tasks, including expense reporting and travel arrangements for various stakeholders.
  • Assist in filling out company and industry-required forms and documents.
  • Order supplies, including office essentials and marketing materials, as necessary.
  • Participate in company meetings and events; document meeting minutes and create actionable items.
  • Maintain and compile lists of action items; develop effective notification methods.

  • Assist various organizations in qualifying and managing relationships with suppliers and vendors.
  • Provide invoice support, filing assistance (both electronic and physical), and various program support as required.
  • Assist the recruiting manager in obtaining and verifying documents for craft personnel.
  • Utilize ATS software to track and download various documents provided by and for craft personnel.
  • Manage the intake, handling, and storage of documents submitted by craft personnel.
  • Communicate with craft personnel as necessary.
  • Perform other duties as assigned.

Qualifications:

  • Proficient in MS Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Strong interpersonal and communication skills, both written and verbal.
  • Ability to manage confidential and sensitive information discreetly.
  • Exceptional attention to detail.
  • Capability to organize a wide range of materials and data.

Education and Experience:

  • High School diploma, Associate's Degree, Bachelor's Degree, or equivalent work experience.
  • Minimum of 3 years of experience in administrative support.
