General Responsibilities: The Accounts Payable Coordinator is responsible for compiling and managing accounts payable documentation through various tasks.

Key Duties:

  • Review and input payment vouchers.
  • Address vendor inquiries effectively.
  • Generate accounts payable checks.
  • Maintain comprehensive accounts payable records.
  • Conduct account analyses as necessary.
  • Support monthly closing processes.
  • Assist with accounts receivable and special assignments as required.

Supervisory Role:

This position does not entail supervisory responsibilities.

Qualifications:

Education: A minimum of 3 college-level accounting credits or 3 to 6 months of relevant experience or training, or a suitable combination of education and experience.

Knowledge: The incumbent must possess a solid understanding of accounting principles.

Skills: The role requires proficiency in the following:

  • Data entry for payment vouchers and checks.
  • Meticulous attention to detail and accuracy.
  • Effective communication with vendors.
  • Analytical and problem-solving capabilities.
  • Preparation of monthly reconciliations.
  • Support for accounts receivable tasks.
  • Ability to perform calculations involving discounts, interest, and percentages.
  • Capability to work independently or collaboratively.
  • Strong verbal and written communication skills.
  • Time and stress management abilities.
  • Application of basic algebra and geometry concepts.
  • Ability to follow detailed instructions and solve standard problems.
  • Competence in reading and understanding simple correspondence.
  • Ability to present information clearly in small group settings.

Technical Competencies: The incumbent should have a working knowledge of the following applications:

  • INFOR LN: Required Level 4, Preferred Level 5
  • Microsoft Excel: Required Level 3, Preferred Level 4
  • Outlook/Email: Required Level 3, Preferred Level 4
  • Microsoft Word: Required Level 2, Preferred Level 3

Performance Metrics:

Accounting Responsibilities: 95%

  • Verify invoices and expense reports for proper documentation and approval.
  • Process three-way matching of purchase order invoices.
  • Prioritize invoices based on cash discounts and payment terms.
  • Match invoices with checks.
  • Respond to vendor inquiries promptly.
  • Maintain organized files and documentation.
  • Reconcile vendor statements and resolve discrepancies.

Project Involvement: 5%

  • Assist with additional projects as needed.
