Project Coordination Specialist for Creative Services

We are in search of a Project Coordination Specialist to join our newly established in-house Creative Services Team. This role is perfect for someone who enjoys taking charge of marketing projects, guiding them smoothly, and ensuring their successful completion.

At POWER Engineers, a rapidly expanding engineering and environmental consulting firm, we collaborate to assist our clients in planning, designing, and executing their most complex projects.

Our areas of expertise encompass electrical energy, renewable energy and storage, food and beverage, government services, industrial and chemical sectors, among others. With over 45 years of outstanding success, we now seek your skills to help streamline our Creative Services Team into a well-oiled machine.
Your Key Responsibilities

In this role, you will collaborate with designers, copywriters, videographers, content creators, and client partners to ensure projects are delivered seamlessly and on time.

To provide an exceptional experience, you will maintain regular communication with the Creative Services Team and project stakeholders to ensure alignment of schedules and prompt assignment of tasks.

With numerous moving components, you will thrive on the challenge of bringing everything together.

Specific responsibilities include:
  • Oversee and manage the workflow platform, promoting its use among team members.
  • Communicate consistently with internal clients, marketing strategists, and team members to provide project updates.
  • Facilitate the completion of creative briefs to advance the creative process.
  • Estimate time requirements for tasks, with support from Creative Services Management.
  • Organize project kick-off meetings as needed.
  • Manage multiple projects concurrently, prioritizing tasks and meeting deadlines.
  • Assist in project management by gathering assets, troubleshooting missing elements, and supporting internal partners in navigating projects through the pipeline.
  • Coordinate with photographers, videographers, designers, and other creatives to plan and execute production events such as photo and video shoots.
  • Collaborate with the communications team and other cross-functional groups to facilitate requests.
  • Champion brand standards by educating others on usage guidelines and ensuring compliance.
  • Take on special projects as assigned.
What We Expect from You
  • Expertise in creative services workflow practices within an agency or in-house environment.
  • Detail-oriented with a strong customer focus.
  • Proactively inform stakeholders of changes in a collaborative and constructive manner.
  • Clear communication skills with internal clients, team members, and freelancers.
  • Ability to negotiate schedules and manage expectations diplomatically.
  • Knowledge of various graphic design production practices across digital, video, and print mediums.
  • Professional experience in troubleshooting issues, fulfilling creative requests, negotiating timelines, managing resources, and communicating effectively throughout the project lifecycle.
  • Familiarity with all phases of the production workflow cycle and communication touchpoints to ensure a customer-first approach.
  • Quickly become proficient with workflow platforms through training and vendor relationship development.
  • A degree in Marketing, Graphic Design, Advertising, or Communications is preferred.
