Client Relations Specialist

Position Overview
As a Client Relations Specialist, you will oversee the comprehensive management of both client-facing and internal processes on a daily basis. Your responsibilities will include:
- Client Documentation: Customizing, organizing, and managing client documents to ensure accuracy and relevance.
- Account Management: Setting up customer accounts, maintaining policies, and managing account modifications as per client instructions.
- Ongoing Audits: Regularly auditing client accounts to add, modify, or close accounts as directed, including adjustments to vote execution options.
- Error Resolution: Monitoring ballot and holdings exceptions reports to identify and resolve account-related discrepancies following established procedures.
- Collaboration: Working closely with the Operations Department to conduct detailed reconciliation services and resolve any rejections within set timelines.
- Reporting: Scheduling and auditing regular client reports, account statuses, holdings, and ballots.
- Issue Escalation: Timely escalation of identified issues to ensure that all stakeholders are informed of any potential impacts on client deliverables.
- Relationship Building: Developing robust relationships with clients through strategic and tactical support.
- Additional Responsibilities: Performing other duties as assigned.
Qualifications
To be successful in this role, candidates should possess the following skills and experience:
- Proficiency in the MS Office suite, particularly Excel, along with familiarity with internet research tools.
- Exceptional attention to detail and accuracy.
- Ability to quickly grasp complex concepts and information.
- Strong multitasking and prioritization skills, with the ability to work independently and meet personal deadlines.
- Capability to perform effectively under pressure while adhering to tight deadlines as part of a dynamic team.
- A resourceful and proactive attitude.
- Analytical skills necessary for researching and resolving inquiries.
- Excellent verbal and written communication skills.
- Ability to cultivate and maintain relationships with both internal and external stakeholders.
Work Environment
This position is a hybrid role requiring regular office attendance.
