Position Summary:

We are seeking a Client Service Specialist to become a vital part of our team. The ideal candidate will thrive in a collaborative environment, demonstrating strong interpersonal communication skills and a passion for continuous learning.

The Client Service Specialist will deliver comprehensive administrative support, ensure exceptional client service, and assist in managing claims, including subrogation claims.

Key Responsibilities:
  • Engage daily with internal team members to guarantee effective account administration and timely follow-up on outstanding issues.
  • Foster positive working relationships and maintain effective communication with colleagues, clients, and external partners.
  • Establish and oversee timelines that clearly outline tasks, durations, and team responsibilities for project completion.
  • Format marketing materials, including newsletters, and manage social media accounts.
  • Coordinate calendars, emails, and overall communication.
  • Arrange travel, speaking engagements, sponsorships, and other business development initiatives.
  • Maintain client records and oversee document management.
  • Invoice clients for services rendered and manage accounts receivables.
  • Undertake additional tasks and projects as assigned.
Client Services:
  • Draft Requests for Proposals (RFPs) for review, implement requested edits, distribute RFPs to the insurance market, and summarize proposals for consultant review.
  • Assist in preparing marketing and renewal applications by gathering necessary information.
  • Support the creation of presentation materials using software such as Excel, PowerPoint, and Word.
  • Draft and format monthly client reports in a specified format.
Claims and Subrogation Services:
  • Review incident and police reports to confirm coverage for commercial auto and general liability claims.
  • Collaborate with clients to gather information for responding to claims and inquiries.
  • Provide clients with claim details and assist in liability determinations.
  • Monitor claims progress and update clients on reserves, settlements, and denials as per client procedures.
  • Identify potential subrogation recoveries through incident and police report reviews.
  • Communicate with clients to gather additional information and prepare subrogation claims.
  • Follow up on subrogation claims to ensure timely resolution and recovery.
  • Maintain accurate records of subrogation activities and outcomes.
Qualifications:

Knowledge, Skills, and Abilities:

  • Excellent communication skills, both verbal and written, for effective interaction with internal staff, external partners, and clients.
  • Preferred knowledge of workers' compensation coverage and claims processes.
  • Understanding of liability coverages and claims processes is a plus.
  • Experience in the insurance industry is advantageous.
  • Ability to maintain or obtain a state-specific property/liability insurance agent's license within three months of hire.
  • Bilingual in Spanish is a plus.
  • Strong organizational skills and the ability to manage multiple tasks simultaneously.
  • Willingness to participate in educational opportunities to enhance knowledge of current insurance topics.
  • Familiarity with HMA's Client Privacy Policy, HIPAA regulations, and E&O procedures.

Education: High school diploma required; college degree preferred.

Experience: Minimum of 2+ years in claims, customer service, legal, or administrative roles in an office setting. Experience in public entities or the insurance/legal industry is a plus.
