Responsibilities:- Provide comprehensive administrative support to managers and employees, including scheduling appointments, managing calendars, and coordinating meetings.
- Prepare correspondence, reports, and other documents using proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook), Adobe software, and QuickBooks.
- Maintain organized filing systems both electronically and physically, ensuring efficient retrieval of information.
- Process invoices, check payments, and assist with budget management tasks under the guidance of senior staff.
- Order office supplies, research vendors, and negotiate favorable pricing for company needs.
- Implement and maintain office policies and procedures to enhance efficiency and organization.
- Serve as the primary point of contact for internal and external clients, providing exceptional customer service.
- Assist with special projects and administrative tasks as assigned by management.
- Proven experience as an administrative assistant or in a similar office support role.
- Strong organizational skills with meticulous attention to detail.
- Proficiency in MS Office Suite, Adobe software, and QuickBooks.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- High school diploma or equivalent; associate's degree preferred.
