Job Overview

The Travel and Expense Coordinator is responsible for managing the collaboration, customer relations, auditing, and administration of the Business Travel and Entertainment Expense policy.

Key Responsibilities:

+ Conduct thorough research, review, and respond to inquiries from employees, crew members, and internal stakeholders within set timelines to prevent escalation of issues. Identify and document the root causes of inquiries to develop sustainable solutions. Assist in interim communications to the traveler community.

+ Engage, collaborate, and partner with various departments, team members, and external vendors to resolve invoicing and payment issues promptly by adopting a proactive approach and ensuring follow-through to payment.

+ Process all expense reports, petty cash, T&E, and purchasing card transactions and payments within designated timelines to optimize global rebates and financial reporting.

+ Investigate, report, and resolve all overdue or disputed travel program charges, receivables, and audit-related items in a timely and accurate manner.

+ Manage all travel programs in conjunction with established banking partners.

+ Perform additional job-related tasks as assigned and assist in providing cross-training coverage to other areas within the team. Participate in or coordinate special projects as needed.

+ Support Accounts Payable leadership in achieving departmental objectives related to servicing both internal and external customers and vendors.

+ Uphold and advocate for company values, strategies, policies, and compliance measures.

+ Ensure adherence to proper internal document controls, policies, and procedures within Accounts Payable.

Qualifications:

+ Associate's Degree in Accounting or a related field.

+ 2-4+ years of experience in a processing and customer service environment, particularly in a fast-paced electronic setting.

+ Preferred experience in Accounts Payable, T&E/P-card processing, or other relevant accounting roles.

+ Intermediate proficiency in Microsoft Excel and Microsoft Word.

+ Familiarity with Oracle Financial Systems.

+ Comprehensive understanding of the procure-to-pay process.

Physical Demands: Must be able to remain in a stationary position at a desk and/or computer for extended periods.

Travel: Minimal or no travel required.

Work Conditions: Primarily in a climate-controlled environment with minimal safety/health hazards.

This position requires employees to work from a designated office in South Florida on specified days, with some flexibility for remote work on others.
