POSITION SUMMARY:
The role is designed to deliver exceptional customer service to patients and visitors at Family Community Services. The individual will manage appointments, provide front desk support, maintain patient records, and represent the organization in all interactions with clients.

SUPERVISOR: Clinic Administrator

KEY RESPONSIBILITIES:

  • Deliver outstanding customer service to all patients via phone and in-person.
  • Handle incoming calls and coordinate appointment scheduling (both in-person and virtual).
  • Facilitate patient registration, verify insurance, and manage all necessary documentation.
  • Collect co-payments at the time of service, understand payment policies, and perform daily financial reconciliations.
  • Conduct virtual 'Telephone Encounters' and assign them to the appropriate staff members.
  • Efficiently check patients in and out, consulting with clinical staff regarding walk-in patients.
  • Assist patients in navigating their insurance plans, processing claims, and establishing payment plans as needed.
  • Complete insurance eligibility checks.
  • Patient-Centric Focus: Prioritize patient needs, demonstrating understanding and empathy to build trust and satisfaction.
  • Ensure compliance with HIPAA regulations to protect patient privacy.
  • Technical Proficiency: Maintain the necessary skills and knowledge to perform the job effectively, demonstrating problem-solving abilities and sound judgment.
  • Engage in process improvement initiatives.
  • Adapt to changing priorities and assignments, utilizing creativity to find new solutions.
  • Travel to various Family Community Services locations as required.
  • Perform additional duties as assigned by the supervisor.

MINIMUM QUALIFICATIONS:

  • High School diploma or equivalent is required.
  • 1-3 years of experience working with underserved populations and community resources is preferred.
  • Proficient in operating office equipment including computers, fax machines, and scanners.
  • Ability to complete all required training for consumer assistance.
  • Strong interpersonal skills for independent and team-based work, especially with challenging clients.
  • Excellent organizational and multitasking abilities, with effective communication skills.
  • Must possess a valid driver's license and reliable transportation for travel between service locations.
  • Flexibility to work evenings and weekends as necessary.

LICENSES OR CERTIFICATIONS:
None required.

COMPLIANCE:
This position requires adherence to Family Community Services' standards, including compliance with policies and procedures, which will be evaluated as part of regular performance reviews.

PHYSICAL DEMANDS:
The role requires the ability to sit, use hands, talk, and hear. Frequent reaching and occasional lifting of up to 25 pounds may be necessary.

WORK ENVIRONMENT:
The work environment is typically low to moderate noise levels, with potential exposure to outdoor conditions and standard office equipment.
