Job Overview:

The Human Resources Administrative Assistant plays a vital role in the organization by managing office reception duties, handling phone communications, and executing daily administrative tasks as assigned. This position involves onboarding new employees and providing assistance to all management personnel with various paperwork and office responsibilities. Proficiency in Spanish is preferred.

Key Responsibilities:

  • Ensure daily office operations are executed efficiently, including filing, record maintenance, copying, and utilizing office equipment such as computers, printers, and fax machines.
  • Create and manage employee identification materials and personnel files.
  • Support various functions within the human resources department, including recruitment, personnel record management, background checks, and benefits administration.
  • Retrieve and organize records as requested by management.
  • Monitor referral bonuses and manage special HR initiatives.
  • Respond to inquiries, direct calls, and document messages accurately.
  • Assist candidates throughout the application process and represent the organization at job fairs and recruitment events.
  • Conduct preliminary evaluations of applicants to assess qualifications and cultural compatibility. Manage all new hire documentation and onboarding processes.

Minimum Qualifications:

  • High school diploma or GED equivalent.
  • Familiarity with standard HR concepts, practices, and procedures.
  • Proficient in Microsoft Office Suite, email communication, and internet navigation.

Additional Qualifications:

  • Excellent interpersonal and communication skills.
  • Strong attention to detail and organizational abilities.
  • Experience in recruitment and human resources is advantageous.
  • Ability to handle confidential information with discretion.
  • Maintain a professional appearance and represent the company positively.

This is a full-time position with standard daytime hours; however, flexibility for occasional evenings and weekends may be required.
