Job Goals:
  • To maintain accurate records and provide accurate information to facilitate the recruiting, retaining, and development of highly qualified, property certified and accurately licensed school system personnel.
  • To assist the Human Resources Director in providing excellent human resources services for school system employees.

Qualifications:
  1. High school diploma or equivalent.
  2. Previous records or data management experience, preferred.
  3. Ability to meet the suitability criteria for employment and/or certification licensure under the Alabama Child Protection Act of 1999 and Act No. 2002-457.
  4. Demonstrated proficiency in oral and written communication skills.
  5. Previous experience and/or knowledge of teacher certification and/or payroll policies and procedures.
  6. Effective interpersonal skills, with an emphasis on communication and collaboration with a wide variety of people and groups.
  7. Ability to work independently, prioritize tasks, and perform assignments as directed with accuracy, attention to detail, and within established time frames.
  8. Ability to identify and solve problems as a productive team member.
  9. Ability to use technology to communicate, to manage data, and to produce/submit required reports, correspondence, and/or financial information.
  10. Physical strength, stamina, dexterity, and acuity to perform essential job functions and responsibilities.
  11. Ability to be punctual and in regular attendance.
  12. Such alternatives to the above qualifications as the Board may require.
Performance Responsibilities and Essential Functions:
  1. Demonstrates support for the school system and its vision, goals and priorities.
  2. Maintains records related to employee certification, licensure, and salary as assigned.
  3. Compiles, updates, edits, and reports data related to certificated personnel with expiring certificates and manages related employee notifications, applications for certificate renewals, documentation, forms, and reports.
  4. Compiles, updates, edits, and reports data related to classified personnel with expiring certificates/licenses that result in supplemental pay for employees as directed.
  5. Assists as needed with recruitment events, scheduling interviews, obtaining personnel documentation, and/or connecting employees with appropriate system department or individual for resolving problems or meeting needs.
  6. Maintains SDE files of online renewal records; maintains local digital record of the status of all pending certificate applications.
  7. Corresponds with teachers pursuing alternative routes to certification to facilitate the completion, collection, and submission of all required forms and documentation to the SDE.
  8. Performs accurate salary calculations and adjustments based on experience, degree, employment date, transfers, duties and responsibilities or other criteria as appropriate.
  9. Works collaboratively with payroll department to ensure accurate and timely salary payments and adjustments.
  10. Maintains accuracy of records related to salary, credentials, and position in one or more software applications as needed.
  11. Maintains aspects of position control as assigned by the Director of Human Resources.
  12. Assists Human Resources Director with preparation for meetings, trainings, and employee orientation as needed.
  13. Communicates information to and from system employees, State Department of Education offices, other school systems or employers, other school system departments or appropriate agencies as directed.
  14. Maintains files, records, and records, electronically and otherwise as appropriate, to facilitate office operations, documentation and reporting.
  15. Verifies certification credentials for individuals recommended for Board action.
  16. Completes State forms EXP and other experience verifications on request.
  17. Assists employees in awareness and understanding of Alabama education job requirements and ensures compliance.
  18. Monitors reporting deadlines, notifies affected personnel of pending deadlines, and assists in assuring that all required items are completed and submitted within the appropriate deadline period.
  19. Completes reports for state and federal agencies as requested.
  20. Maintains local and state forms and correspondence for department to ensure compliance and current information, according to established policies/statutes.
  21. Prepares items for Board agenda as required.
  22. Maintains information in department-level database system and makes recommendations for updates and improvements.
  23. Maintains and updates salary schedule information annually and as needed.
  24. Demonstrates initiative in the performance of assigned responsibilities.
  25. Exhibits professionalism in the workplace and provides exemplary customer service to all employees and potential employees.
  26. Performs duties in a courteous and professional manner.
  27. Maintains appropriate confidentiality regarding school/workplace matters.
  28. Demonstrates initiative in identifying potential problems and/or opportunities for improvement in areas of responsibility.
  29. Works cooperatively and productively with supervisor(s) and other system staff to ensure the system's vision, goals and strategies are implemented and providing all pertinent data to all appropriate personnel within the designated time frame.
  30. Engages in personal professional growth and demonstrates professional ethics and effective leadership.
  31. Reports potential problems, unusual events, or work irregularities to appropriate administrative or supervisory personnel.
  32. Responds to inquiries, requests, constructive feedback, concerns and/or complaints in a timely and positive manner.
  33. Maintains and submits reports, records, and correspondence in a timely and accurate manner.
  34. Properly uses and cares for equipment and material resources of the school system and effectively supervises and monitors others in the care, maintenance, and use of tools, equipment, and inventory.
  35. Uses effective collaboration skills to work as a productive team member, assisting as needed in projects, reports, or activities of the human resources department.
  36. Serves on school system committees, tasks forces, and representative groups as required.
  37. Adheres to school system rules, administrative procedures, local Board policies, and state, federal, and local regulations.
  38. Reports absences and takes leave in accordance with Board policies and procedures.
  39. Performs any other job-related duties as assigned by the Director of Human Resources.

Terms of Employment: Twelve-month position in accordance with Board's salary schedule.

Evaluation: Performance of this job will be evaluated in accordance with provisions of the State Department of Education and/or Baldwin County Board of Education policy on evaluation of classified personnel.
