Position Overview

The Financial Operations Analyst role focuses on supporting internal teams, external suppliers, and cross-departmental clients in utilizing online financial systems effectively. This position is crucial for ensuring timely payment processing and resolving any discrepancies related to invoices for indirect purchases across various operations.

Key Responsibilities

Invoice Management:

  • Oversee invoice processing through multiple channels, including email and physical mail.
  • Ensure accurate routing of invoices within appropriate financial systems.
  • Investigate and resolve discrepancies related to pricing, receiving, and quantities from submission to payment.

Reporting and Analysis:

  • Conduct thorough reviews of various invoice discrepancy reports to identify recurring issues and collaborate with relevant parties for resolution.
  • Perform aging analysis on outstanding payables to ensure timely resolution.
  • Analyze data from process improvement initiatives and report trends to management.

Communication and Relationship Management:

  • Act as the primary contact for invoice inquiries, providing support to both internal users and external vendors.
  • Maintain proactive communication with suppliers regarding payment statuses to prevent delays.
  • Foster positive relationships with internal teams and external partners to minimize potential issues.

Additional Accounts Payable Functions:

  • Manage chargebacks and refund requests as necessary.
  • Assist in the preparation and review of data loads.
  • Conduct vendor statement reviews to ensure accuracy.

Reconciliation and Project Support:

  • Perform reconciliations for balance sheet accounts, identifying and resolving discrepancies.
  • Engage in special projects aimed at process improvements, utilizing analytical skills to enhance efficiency and reduce costs.

Qualifications

Education:

  • Bachelor's Degree in Accounting, Finance, or Business Administration is required.

Knowledge and Experience:

  • Understanding of mathematical principles and their application in financial contexts.
  • Familiarity with economic and accounting principles, as well as financial data analysis and reporting.
  • Preferred experience in accounts payable within a large-scale manufacturing or retail environment.

Technical Skills:

  • Proficiency in Microsoft Office Suite, particularly Word, Excel, and PowerPoint.
  • Strong verbal and written communication skills.
  • Ability to organize, plan, and prioritize tasks effectively.
  • Detail-oriented with a flexible approach to work.
  • Team-oriented with the capability to work independently.

Travel Requirements: Up to 10% travel may be required.
