Job Summary

The Service Coordinator is a key member of our team at Alliance Laundry Systems, responsible for coordinating and facilitating the Service Teams' routes and schedules. This role requires strong organizational skills, attention to detail, and excellent communication abilities.

Key Responsibilities
  • Coordinate and manage service team schedules, routes, and resources to ensure efficient and effective service delivery.
  • Assign, dispatch, and allocate field personnel to different projects, ensuring timely and high-quality service.
  • Track job, field personnel, and backlog status on the Service Tracker, maintaining accurate records of work performed.
  • Prepare quotes for service repairs and customer invoices, processing all service invoices in a timely manner.
  • Provide exceptional customer support, communicating with clients to confirm scheduling and finalizing dates.
  • Coordinate with clients and secure a point of contact to ensure efficient and safe service delivery.
  • Partner with the installation team to complete equipment and parts acquisition, verifying availability to ensure quality and timely service calls.
  • Assist with creation of invoices for all orders, including additional paperwork such as lien waivers and applications for payment.
  • Act as a liaison between customer and office, promoting company products and services and improving the customer experience.
Requirements
  • High School diploma or equivalent required; completion or pursuit of an associate or bachelor's degree strongly preferred.
  • Minimum of 2 years of work experience in dispatching or scheduling environment preferred; equivalent combination of education, training, and experience considered.
  • Experience with Sage, SAP, and Salesforce, or other CRM systems, strongly preferred.
  • Proficient computer skills, including MS Outlook, Word, and Excel, preferred.
  • Experience in telephone and email/ticketing system-based customer support preferred.
Skills and Abilities
  • Excellent planning and organization skills; strong project coordination skills and associated task execution.
  • Solid organizational skills and detail-oriented; ability to self-manage workload and multiple projects simultaneously.
  • Excellent written, verbal, and interpersonal communication skills; ability to communicate effectively and professionally across all levels of the organization.
  • Strong work ethic; self-starter, demonstrating a proactive approach, self-initiative, and tenacity.
Standard and Physical Requirements
  • Position involves sitting long periods, standing, manual dexterity, stooping, and bending.
  • Position requires the ability to lift, carry, push, and pull up to 25 lbs occasionally; assistive devices provided for greater weight items.
  • While performing the duties of this job, the employee is regularly required to talk and hear; and use hands to manipulate objects or controls.
