Tennessee Oncology is a leading community-based cancer care specialist with a network of physicians and locations across the country. As a Patient Services Coordinator, you will play a vital role in providing high-quality cancer care and clinical research to patients in their community.

Job Description:

The Patient Services Coordinator provides total medical office support, including registration and scheduling functions. This role involves managing the reception of patients within the office and by telephone, obtaining patient insurance and demographic information, collecting co-pays and payments, and scheduling appointments, including internal and external.

Key Responsibilities:
  • Answer telephones and greet patients in a courteous and efficient manner, routing calls and messages to the appropriate discipline or department.
  • Follow policy and procedures outlined by management to ensure standardization of processes across all clinics.
  • Conduct patient check-in, check-out, and medical records, following policy and procedures.
  • Function as a preceptor to newly hired staff.
  • Properly track patients in the Electronic Health Record (EHR) for next location and ensure patients are not missed.
  • Obtain pre-patient registration, demographic, and insurance information and enter it appropriately into the Patient Management System (PM) or EHR.
  • Ensure eligible patients have proper distress screening.
  • Collect co-payments and/or payments at the time of service and manage the end-of-day procedure, including daily deposits and sign-in sheets.
  • Ensure canceled and missed appointments are followed up and properly documented.
  • Schedule patient appointments, including internal and external.
  • Run and/or work daily reports to identify patients with unscheduled orders.
  • Perform tasks related to Governmental, Insurance, and Quality Initiative Programs.
  • Maintain communication with the pre-certification team for urgent cases and denial/peer-to-peer requests.
  • Ensure proper billing documents are faxed with diagnostic orders if the patient is on a study.
  • Prepare the EHR for the next provider visit.
  • Obtain necessary records prior to the patient's appointment.
  • Follow standard operating procedure (SOP) for external follow-ups.
  • Open and distribute mail if necessary.
  • Electronically scan/import patient-related records into the EHR.
  • Distribute outbound correspondence or copies of records as necessary.
  • Demonstrate excellent customer service, responding promptly to patient, physician, and clinical requests.
  • Communicate with other staff members using the Instant Messaging System.
  • Perform other duties as assigned.
  • Ability to travel/float to other clinics for business needs.
  • Maintain and ensure confidentiality of patient information.
  • Adhere to all Tennessee Oncology policies and procedures.
Requirements:
  • High school graduate or equivalent with a GED.
  • Checked off on competencies for registration and scheduling coordinator functions within 90 days.
  • 5 years' experience in a professional office with customer service required.
  • Strong computer skills, including Windows file management and MS Office, and email experience.
  • Electronic Medical Records experience required or within 90 days.
  • Good verbal and written communication skills.
  • Ability to work productively and effectively in a fast-paced environment.
  • Strong organizational skills and attention to detail.
  • Excellent customer service skills.
