Vaco is seeking a detail-oriented and organized individual to support our operations as a Construction Administrator. This role will be responsible for managing the Badging Process, Card Reports, and Office Manager responsibilities.
Key Responsibilities- Badging Process:
- Manage a large number of badges, ensuring timely completion and accuracy.
- Coordinate with subcontractors to complete background checks and obtain necessary documentation.
- Utilize software to track and upload badge information, requiring proficiency in Smart Sheets/Excel.
- Communicate effectively with clients to keep them informed of the badge process status.
- Card Reports:
- Manage a designated email address for foreman to submit receipts.
- Enter receipts into software, coding and tracking expenses.
- Follow up with foreman to ensure timely submission of receipts.
- Office Manager:
- Provide administrative support, including answering phone calls, making copies, and restocking office supplies.
- Manage inventory, ensuring adequate stock of office materials and supplies.
- Excellent organizational and communication skills.
- Ability to work independently and as part of a team.
- Proficiency in Smart Sheets/Excel and software applications.
- Attention to detail and ability to manage multiple tasks.
