Vaco is seeking a detail-oriented and organized individual to support our operations as a Construction Administrator. This role will be responsible for managing the Badging Process, Card Reports, and Office Manager responsibilities.

Key Responsibilities
  • Badging Process:
    • Manage a large number of badges, ensuring timely completion and accuracy.
    • Coordinate with subcontractors to complete background checks and obtain necessary documentation.
    • Utilize software to track and upload badge information, requiring proficiency in Smart Sheets/Excel.
    • Communicate effectively with clients to keep them informed of the badge process status.
  • Card Reports:
    • Manage a designated email address for foreman to submit receipts.
    • Enter receipts into software, coding and tracking expenses.
    • Follow up with foreman to ensure timely submission of receipts.
  • Office Manager:
    • Provide administrative support, including answering phone calls, making copies, and restocking office supplies.
    • Manage inventory, ensuring adequate stock of office materials and supplies.
Requirements
  • Excellent organizational and communication skills.
  • Ability to work independently and as part of a team.
  • Proficiency in Smart Sheets/Excel and software applications.
  • Attention to detail and ability to manage multiple tasks.
