Job Summary

We are seeking a highly skilled Academic Recruitment Specialist to join our team at UTMB Health. As a key member of the Provost Administration, you will play a critical role in the successful recruitment and retention of faculty, physicians, and executive positions.

Key Responsibilities
  • Recruitment: Collaborate with Academic Enterprise departments, schools, and Faculty Relations to maintain the POWER candidate module, tracking positions open, interviews scheduled, and offers made or not made.
  • Work with Associate VP, Faculty Group Practice Operations, and departments to update and maintain the Institutional Strategic Hire List.
  • Process and track invoices and funds spent on recruitment resources, including job postings, ad placements, and placement fees.
  • Analyze the effectiveness and cost of advertising and resources used, reporting by department.
  • Manage and track external search firm contracts.
  • Assist the Search Committee with compliance questions and maintain process flow.
  • Create and manage evaluation tools, including tabulating results for review.
  • Prepare handouts for potential candidates, including information on local cities and general information on UTMB and related departments.
  • Escort candidates during interviews and visits.
  • Provide Galveston Campus tours.
  • Coordinate with Schools and Departments to obtain feedback from interviewers and candidates after interviews.
  • Execute search strategy and workflow in collaboration with the current team.
Onboarding
  • Participate in New Faculty Orientation, working with the Office of Faculty Affairs and Professional Development.
  • Provide continued assistance to new hires and families, helping to acclimate to the UTMB community during their transition/relocation.
  • Contact new hires at 30 and 60 days for check-in and follow-up at 90 days with a survey to help improve the onboarding process.
  • Work closely with departments to resolve any concerns brought forward.
  • Work with Faculty Relations and HR to produce annual retention reports.
  • Adhere to internal controls and reporting structure.
