Procurement Analyst Assistant

Location: Pinellas County, FL

This position involves technical and administrative responsibilities related to the preparation and processing of orders and requests for frequently acquired goods and services. Responsibilities include utilizing office technology to manage assignments, process orders, and track progress. The incumbent will independently handle routine tasks such as responding to inquiries from colleagues, customers, and suppliers, expediting orders, coordinating deliveries, and assisting in the drafting of specifications and scopes of work.

Key Responsibilities:

Procure commodities, supplies, equipment, and services for various departments while adhering to established budget thresholds. Maintain vendor relationships and assist departments in addressing issues related to substandard materials or pricing discrepancies. Monitor purchase agreements for compliance, verify vendor statements, and address any overdue charges as necessary. Collaborate with senior staff to assess suppliers based on cost, quality, and delivery timelines. Analyze pricing proposals and financial documents to ensure pricing fairness. Facilitate discussions with suppliers on behalf of the organization. Communicate with staff and vendors regarding defective or unsatisfactory goods and determine corrective measures. Oversee orders and deliveries to ensure compliance with contract terms and identify the need for amendments. Manage and review payment histories and records related to purchases, costs, deliveries, and product performance. Solicit and evaluate quotations for necessary materials and services to ensure adherence to trade practices and regulations. Provide technical support to higher-level staff as needed. Assist customers in identifying and resolving purchasing-related issues. Aid in the formulation and drafting of bid specifications for a diverse range of commodities and services. Process emergency purchases as required. Handle intergovernmental purchasing agreements as necessary. May perform duties related to business technology, including data entry and retrieval. Perform additional related tasks as assigned.

Qualifications:

Minimum of 2 years of experience in purchasing, procurement, or related fields, including finance or inventory control. An Associate's degree in finance, accounting, business, information technology, public administration, or a related discipline, or equivalent experience. Flexibility to work various schedules, including during emergencies.

Knowledge, Skills, and Abilities:

Understanding of purchasing and contract management practices. Familiarity with automated information systems and data processing principles. Knowledge of accounting principles relevant to procurement. Strong customer service skills, including effective communication and time management. Ability to utilize procurement-related software and applications. Capacity to analyze data, make informed decisions, and generate reports. Ability to maintain positive working relationships with various stakeholders. Capability to manage heavy workloads and adapt to changing priorities. Ability to work effectively in high-pressure environments.
