The Medical Office Receptionist plays a vital role in delivering administrative support and services to the clinic, healthcare providers, and patients within a dynamic medical practice.

This position encompasses a diverse range of responsibilities including patient relations, appointment scheduling, data management, and educational outreach for patients.


Essential Skills and Qualifications:
High School Diploma or GED equivalent

Proven ability to build and maintain effective relationships with patients, colleagues, and the community

Minimum of 2 years of administrative experience in a healthcare setting preferred

Familiarity with health insurance processes, pre-authorization, insurance verification, medical terminology, CPT codes, and ICD-9 codes is preferred

Exceptional customer service skills are required

Capacity to thrive in a fast-paced and demanding environment

Demonstrated professionalism and strong work ethic

Team-oriented mindset with flexibility and eagerness to learn


Effective communication, multitasking, and the ability to work under pressure are crucial for success in this role, which also demands meticulous attention to detail and a commitment to ensuring patient satisfaction.

Upholding HIPAA compliance is essential.

Sound judgment and discretion are necessary

Proficiency in technology and familiarity with Microsoft Office Suite, including:

Google Workspace

Word

Excel

Key Responsibilities:

Greet patients upon arrival and address inquiries and concerns.

Handle incoming calls, provide information, and transfer calls or take messages as needed

Manage appointment scheduling

Register new patients and update existing patient information by collecting detailed personal and financial data

Facilitate patient flow by notifying healthcare providers of patient arrivals, monitoring delays, and communicating with patients and clinical staff

Maintain and update patient records through data entry, faxing, and scanning.

Collect deductibles, coinsurance, balances, copays, and sell over-the-counter items

Review all required accounts receivable/accounts payable changes since the last visit and update records accordingly

Manage multiple providers' schedules effectively.

Keep track of orthotics received, contact patients, and schedule follow-up appointments


Oversee office inventory and equipment by checking stock levels; anticipating supply needs; placing and expediting orders; verifying receipt of supplies; and scheduling equipment maintenance and repairs.

Review next-day charts for insurance eligibility and necessary referrals and prior authorizations

Prepare end-of-day reports, deposit slips, and upload to shared files daily

Examine billing claims and denials, collecting necessary information from providers or patients

Assist with additional office tasks as required
