Position Summary

The Front Desk Agent is responsible for providing exceptional service to guests in a courteous and efficient manner. This role encompasses various responsibilities related to guest interactions, including registration, checkout, and payment processing, all aimed at enhancing the overall guest experience.

Key Responsibilities
  • Welcome guests warmly upon their arrival.
  • Manage the registration and checkout processes at the front desk.
  • Process payments for guest accounts during registration and checkout, maintaining a house bank and ensuring accurate daily reports of receipts.
  • Handle cash transactions accurately and balance the cash drawer as required.
  • Recognize and acknowledge loyalty program members and returning guests.
  • Assist with guest bookings, promote additional services, and inform guests about ways to enhance their stay.
  • Review daily arrival reports and ensure all special requests are accommodated.
  • Participate in all scheduled training and departmental meetings.
  • Stay informed about hotel promotions, activities, and special events.
  • Adhere to safety protocols to prevent injuries.
  • Follow privacy and security procedures as well as company policies.
  • Answer incoming calls promptly and direct them to the appropriate departments.
  • Collaborate with other departments to meet guest needs and log requests in the appropriate systems.
  • Provide information regarding hotel policies, services, and local attractions.
  • Maintain a thorough knowledge of hotel services and the surrounding area.
  • Ensure the lobby area is clean and organized.
  • Assist with mail, packages, and guest items as needed.
  • Perform other duties as assigned by management.
Supportive Functions

In addition to the essential functions, this position may require performing supportive tasks as determined by management, including:
  • Addressing guest inquiries.
  • Following safety and security policies.
  • Reporting maintenance issues and safety hazards.
  • Completing other reasonable tasks as requested by supervisors.
Physical Requirements
  • Work is primarily indoors, with moderate temperature control.
  • Ability to stand and move for extended periods.
  • Must be able to lift up to 45 lbs. and push/pull equipment weighing up to 250 lbs.
  • Requires various physical activities including bending, climbing, and repetitive motions.
  • Good hearing and vision are essential for communication and safety.
Qualifications

The ideal candidate should possess:
  • Proficiency in the primary language used in the workplace.
  • Strong communication skills, both verbal and written.
  • Basic knowledge of mathematics and computer applications.
  • Excellent customer service and leadership abilities.
  • Attention to detail and strong organizational skills.
  • Basic computer literacy.
  • Ability to handle customer interactions with patience and tact.
  • Familiarity with hotel management systems and office equipment.
  • Self-motivation and the ability to work independently.
  • Strong problem-solving skills and analytical thinking.
Education

High school diploma or equivalent required.

Experience
  • Previous experience in hospitality is preferred.
  • Experience in a front desk or customer service role is advantageous.
Grooming Standards

All staff members must maintain a neat and professional appearance in accordance with company standards.

Attendance

Regular attendance is crucial for this role, and adherence to scheduled shifts is expected.
