Job Overview

The Bid and Proposal Specialist will play a pivotal role in supporting the senior proposal coordinator in the preparation and submission of successful proposals. This position offers the flexibility of remote or hybrid work arrangements and requires collaboration with various team members to effectively respond to Requests for Proposals (RFPs), Requests for Quotations (RFQs), and Requests for Information (RFIs). Timely and persuasive proposal delivery is essential, along with strong communication with internal stakeholders and partners.

Key Responsibilities:

  • Oversee the management of Sales Force for tracking proposal activities.
  • Establish and maintain a comprehensive master folder containing all essential RFP requirements and data.
  • Disseminate RFP links to relevant personnel for thorough review.
  • Coordinate the preparation of Bid Decisions.
  • Facilitate Opportunity Gate Review meetings to discuss bid decisions.
  • Organize kick-off meetings to outline bid requirements and strategies.
  • Gather historical data for internal assessments.
  • Monitor requirement fulfillment and assist in drafting business documentation.
  • Conduct regular meetings to track proposal progress and maintain timelines.
  • Collect bid data from internal teams to ensure compliance with requirements.
  • Collaborate with the contracts team to ensure proper bid submission.

Additional Support Functions:

  • Assist in maintaining Proposal Processes, Work Instructions, and Templates.
  • Provide analytical support for bids and manage customer-requested modifications.
  • Perform other assigned duties as necessary.

Required Skills and Qualifications:

  • Exceptional communication and coordination abilities.
  • Meticulous attention to detail in written documentation.
  • Capability to work independently and collaboratively under tight deadlines.
  • Proactive mindset with the ability to multitask effectively under pressure.
  • Proficiency in Microsoft Word, PowerPoint, and Excel.
  • Familiarity with Salesforce, SharePoint, Oracle, and Agile systems is advantageous.
  • Understanding of government regulations and proposal analysis is beneficial.

Experience Requirements:

  • 3-5 years of experience in proposal coordination or a related field.
  • Background in proposal writing and development.
  • Experience within a manufacturing context.
  • Knowledge of aerospace and defense industry standards is a plus.

Educational Background: A degree in Business Administration, Marketing, or a related discipline is preferred.

Security Clearance: U.S. citizenship or permanent residency is required. Security clearance may be necessary.
