Administrative Coordinator

As an Administrative Assistant at Douglas Emmett, you will be responsible for providing exceptional support to our Property Manager. This role involves handling office operations in accordance with our standards and requirements.
Duties and Responsibilities:
- Greet visitors to the office and ensure a positive first impression
- Answer telephones promptly and professionally
- Dispatch engineering teams to address tenant service requests
- Follow up on requests to confirm timely completion of work
- Manage mail and deliveries, including opening, dating, and distributing
- Order office supplies and kitchen essentials
- Prepare tenant payments for deposit and forward to the Corporate office
- Communicate with tenants regarding late payments and prepare invoices for payment
- Prepare employee timesheets and forward to the Corporate office
- Compile monthly reports, including leasing data, stacking plans, deal lists, and delinquency reports
- Coordinate welcome gifts and events for new tenants with the Property Manager and vendors
- Interact with various departments within Douglas Emmett, such as accounting, design, development, human resources, legal, leasing, technical services, and property management
- Research and recommend cost-effective methods for performing administrative tasks
Tech Requirements:
- Intermediate-level knowledge of Word and Excel
- Strong written and verbal communication skills
- A professional image through adherence to Douglas Emmett's dress code standards
- The ability to communicate clearly, positively, and professionally with tenants, employees, and vendors
- Good judgment and professionalism when interacting with building management, tenants, and vendors
- Ability to work well under pressure, prioritize tasks, and maintain high-quality work
- A team player attitude and strong customer service orientation
