Job Summary

We are seeking a highly skilled and experienced Senior Administrative Assistant to join our team at MD Anderson Cancer Center. The successful candidate will provide administrative support to faculty members, ensuring the smooth operation of our department.

Key Responsibilities
  • Plan and manage work deadlines and schedules, maintaining calendars and coordinating travel arrangements.
  • Arrange travel preparations, including airline reservations and hotel accommodations, and process travel expenditures according to institutional policies.
  • Maintain faculty extramural development leave and staff development funds, as well as faculty CV and biosketch information.
  • Format letters, reports, articles, and speeches, and compose routine correspondence.
  • Prepare submissions of publications, abstracts, manuscripts, and other documents using EndNotes and other software.
  • Accurately type and transcribe medical dictation, manuscripts, correspondence, and other administrative documents.
  • Assist faculty members with slide preparation and manuscript or grant submissions.
  • Maintain records of Continuing Medical Education credits and track deficiency reports for medical records.
Requirements
  • High school diploma or equivalent.
  • Five years of administrative/secretarial experience, with preferred Associate's degree, three years of required experience, and with preferred Bachelor's degree, one year of required experience.
  • Experience coordinating and arranging travel, strong service orientation, excellent communication skills, and ability to multi-task and work on multiple items concurrently.
Work Schedule

This position has a hybrid onsite/remote schedule, with a minimum of two days per week on-site. The incumbent may work on-site every day as they are learning the position and will transition into the hybrid schedule as they are deemed ready.
