Role Overview

The Senior Administrative Assistant will provide comprehensive support to the Chief Investment Officers and Investment Team. This role requires a highly motivated and organized individual with exceptional attention to detail, strong communication skills, and the ability to thrive in a fast-paced environment. The successful candidate will possess a proactive nature, excellent time management skills, and the ability to prioritize tasks effectively.

Responsibilities
  1. Administrative Support
    1. Provide administrative assistance and support to the CIO and Investment Team.
    2. Manage multiple active calendars across the team.
    3. Coordinate meetings and conference rooms; order necessary food and catering.
    4. Coordinate travel arrangements and process expense reports.
    5. Prepare reports for weekly, monthly, and quarterly meetings.
    6. Manage Excel spreadsheets, track data, and assist with communication with investors and partners.
  2. New Investment Process & KYC
    1. Coordinate with legal counsel, CIO, and CFO to complete execution of subscription documents and other legal materials.
    2. Manage investor/vendor relationships.
    3. Create and circulate investment checklists to appropriate parties.
  3. Assistance to Accounting Team
    1. Complete new bank account forms, as needed.
    2. Enter new entities, vendors, subsidiaries, and accounts into NetSuite.
    3. Complete new custodian and bank account forms.
    4. Compile, print, and bind quarterly board materials.
    5. Assist CFO with corporate insurance renewals.
    6. Create audit confirmation letters.
  4. General Administrative Support
    1. Back up support to other Admin Team members as needed.
    2. Register as ERT Team Member, Notary Public, and Fire Warden.
    3. Additional projects and duties assigned as needed.
Requirements
  • Bachelor's degree
  • 4+ years of administrative experience in a corporate environment
  • Self-motivated and accountable individual who is constantly looking to improve
  • Excellent organizational skills and the ability to effectively handle multiple priorities with a professional attitude
  • Demonstrate outstanding written and verbal communication skills with the ability to produce high-quality emails and messages to individuals at all levels of the organization
  • Strong ability to multi-task and solve problems quickly, resourcefully, and competently
  • Strong time management, sound judgment, good prioritizing, and a team player
  • Willing to lean in with no task is too small attitude
  • Tech Guru (specifically, Microsoft Suite)
  • Strong communication and time-management skills
  • Uncompromised reputation for discretion, honesty, and personal integrity
