Position Overview:

We are in search of a proactive and exceptionally organized Senior Administrative Coordinator to provide support to our executive leadership team within a dynamic corporate landscape. This position requires an individual who is skilled in managing critical tasks and excels in environments characterized by frequent high-profile interactions and varying workloads. The ideal candidate will demonstrate the ability to navigate busy schedules with enthusiasm and poise while executing administrative responsibilities with accuracy.

Key Responsibilities:

  • Executive Support: Assist senior leadership and facilitate communication with high-profile individuals, ensuring effective scheduling and interaction across various levels of the organization.
  • Event Planning: Coordinate and prepare for both internal and external gatherings, including arranging meeting spaces, liaising with new clients, and facilitating the onboarding process for new team members.
  • Administrative Duties: Manage daily operational tasks such as responding to inquiries, overseeing correspondence, and maintaining organized documentation. Provide assistance to the Human Resources department with various administrative initiatives as required.
  • Prioritization Skills: Successfully manage multiple responsibilities and tasks, from busy periods filled with client engagements to quieter times dedicated to HR projects and other administrative functions.
  • Composure in High-Pressure Situations: Maintain a sense of calm and efficiency in potentially hectic scenarios, ensuring seamless operations and favorable outcomes.
  • Professional Presentation: Uphold a high standard of professionalism in all interactions, presenting oneself and the office environment in a refined and professional manner.

Qualifications:

  • Demonstrated experience as a Senior Administrative Coordinator or in a comparable role within a corporate environment.
  • Strong knowledge of corporate structures and experience collaborating with senior leaders and high-profile individuals.
  • Outstanding organizational and multitasking abilities with a capacity to manage diverse workloads.
  • High energy level, with a professional demeanor and the ability to remain composed under pressure.
  • Excellent verbal and written communication skills.
  • Proficiency in office software and systems, including Microsoft Office Suite and scheduling tools.
  • Willingness to adapt to a fast-paced work environment and start on short notice.
